There are a couple of obvious places to check in Word.

File > Options > Advanced > section Image Size and Quality

CHECK Do not compress images in file

Default resolution 330ppi (or perhaps lower)

File > Options > Display > Section Printing Options

CHECK Print drawings created in Word

Example of «Image in Text box» for those reading:

Insert Text box

Then Insert your image inside the box

  • Use Insert (as opposed to copy / paste) when placing images into a document
  • If images will not stay contained in spite of margins:
    • Insert a Text box of the size necessary to contain the image
    • Insert the Image inside the empty text box

Some Random Thoughts on the Subject:

If the problem is happening all the time, even in the creation of a «new» Word file, I suppose it is possible the Normal.dotm template is damaged in some way.  This is unlikely just because a damaged dotm file usually causes other issues.

You could try inserting the image / photo into the document without the aid of the Text Box.  Be sure to use Insert as opposed to cut / copy / paste since these are NOT the same as Insert and can result in odd printing sizes, chopped images, or missing images.

Make sure the Text box (with image) or the «inserted image» are inside the header boundaries.  If you inadvertently set an image into the header (or footer or outside the margins), weird things can happen.

Test / Check the line spacing.  

For example,

  • Lines must be configured to allow the correct amount of spacing between lines of text (Page Layout > Spacing). Be aware temporarily changing fonts away from the default font for the document can result in odd line spacing: text shows in one font, line space is a different font.
  • If the Image / Art is placed «In Line» with Text (not Tight) and is still being cut off, or the tops of words are missing:
  • Place a blank line before and after the image (if possible).
  • Check the font type used in the line-space (blank space between lines of text); line space should be of the same font as lines of printed text.

If necessary, adjust the following setting:

Word > Open your Document >> Page Layout > Under Spacing >>

Line Spacing: (Select) Single

The package office automation by Office , comprising tools well known to millions of users around the world and one of them is the Word file editor. It’s very comprehensive and hardly ever reports outages, but believe it or not if it has issues and there is one that is very recurring. And in the following article we will you show Why are text boxes and shapes not printing in Word?

Here, we will briefly explain why this problem is occurring and the possible solutions that you can take. As it is very common that in views such as la design Web, the print design and read mode, they are perfectly visible. But when you print them they don’t show up and it creates a lot of uncertainty so let’s see why this is due.

Sometimes this behavior can be caused by graphics settings and only allows the text to print and not the areas and shapes found in the document. But we suggest that you keep reading to understand the reason for this problem, where there is a possibility that the solution can be found in modifying or changing the margins of the document.

As we have already mentioned, when you have in a document not only texts, but also certain types of illustrations such as images, graphics, text boxes, etc.

You can see them in reading mode , print design and web design. But it turns out that if you want to see them in Draft and Outline view, they don’t appear anywhere.

And depending on the adjustment we make in the graphics, the behavior may vary, since we can make a float or inline adjustment with the text.

This is of course done in the Insert tab of the Illustrations section. And let’s see what happens when we choose one of these two settings in Word.

If we decide to choose the illustrations to be in line with the text and enter the Print Design option, we will see that it will not be displayed. And to fix this error, we have to enter advanced, then Show document content. And we will see that the option Show image markers is selected.

It is also possible that the paragraph leading has been set to Exact in very few points and this is preventing the entire image from being able to fit or be the height of the line.

Many times we select the Show Document Contents option. So that we can move quickly in the document and we will find it in the Draft option .

Possible causes and solutions when text boxes and shapes do not print in Word

But now let’s see what happens when the text wrapping that was done in the illustrations is of type Floating. And in this case, we have to control three different options, first the option Show Drawings and text boxes on the screen. To choose this option we go to Advanced, then Show Document Content, this must be selected.

And down the Print option, we need to make sure the Draft Quality option is not selected. Then, in Display, you go to Printing options and you must select the option Print the designs created in Word and print the background colors and images and in this way this error is corrected.

It is always important to check in the printing options section and verify that the option Print designs created in Word is selected . That way, you won’t have any issues with what’s seen in the preview and what’s printed on your sheets.

And in this way we have concluded this article, very interesting for others that I explain a problem which is generally very common. And in a very simple way I will you say Why are text boxes and shapes not printing in Word?

  • using Word 2010 and Windows 7 platform.  «Print drawings created in Word» AND «print background colors and images,» both checked.  No difference on or off.  Gap is left where textbox should be, but nothing prints including a graphic line &
    image all layered.  If I delete the grahic line and the image, the textbox still does not print.  If I delete the textbox and draw another from scratch, it does not print either.

    If I copy the «problem» textbox including the graphic line and image from the current document (long documents with lots of images and styles) into a document of its own, the textbox prints.  But not in the current document.  I have sent the
    Wrap to Inline with Text as suggested in one Google search, no luck there either.

    Any ideas?

  • Not that this is an answer, but I copied the entire section into a new document, leaving the 2 textboxes and their associated graphics in the document and printed.  Both textboxes printed.  Then I copied & pasted the text/styles before &
    after the textboxes from the lone section document back into the long document.  Now all prints.  Have no idea what was preventing the printing initially, except that I did notice when I selected text to paste back into the long document that
    the problem textboxes appeared to be selected out of linear order (selected with second paragraph above it, rather than paragraph directly above it).

Hi Grandma,

If you’re in Word 2007
Office Button=>Word Options=>Display=>Printing Options

If you’re in an earlier Word version
File=>Print=>Options
and turn on ‘Drawing Objects’ in the Print options.

Is it the text box content that doesn’t print or just the «outline»? If the
former, be sure you have «Drawing objects» checked on the Print tab of Tools
| Options. If the latter, it may be that your text box doesn’t actually have
a border; go to Format Text Box, select the Colors and Lines tab, and select
a color, style, and weight for the «line.»

Word 2007 — The outline won’t print. I have gone to format text box,
selected a color, style, and weight for the line. If I select a shaded box
with a border it will print the shading, wording and the border. But an
unshaded box will not print the border.

I am in Word 2007 and I have the «Drawing Objects» checked but it still
does not print the outline of the box.

Yes, I usually insert a simple text box, go to shape outline and make the
outline a pt 6 weight or something other than the default and pick a color
for the outline. It shows up on the screen and in print preview the way I
want it put when I print it, it only prints the text inside the box. I am
using word 2007 from Microsoft Office Student & Home edition.

Hi Grandma,

If you start a new document and use
Insert=>Shapes
and insert a textbox, then apply the 6pt outline from
Text Box Tools=>Shape Outline=>Weight
does the border appear in Print preview and when you print?

Do you have the MS Office 2007 add-in for PDF?
Office Button=>Save As=>PDF?

If so, does the border appear there?

Hi Bob,

I tried both of the suggestions you showed and they both showed the border
in print preview but the border would not printin either case. I did
download the Save As PDF file.

I finally found that if I do a Draw => Border => 6pt and then draw the
border it will show in print preview and then actually print.

Seems the long way to do it when the text box border should print.
