Quickly convert text to uppercase

When you’re working on a Microsoft Word document and have a string of lowercase text that should be in uppercase, don’t retype it. Instead, use the Word Change Case tool to change some or all of the text to a different case, such as all caps.

Instructions in this article apply to Word for Microsoft 365, Word 2019, Word 2016, Word 2013, and Word 2010.

Microsoft Word Uppercase Shortcut Key

The fastest way to change text to all caps is to highlight the text and press the keyboard shortcut Shift+F3.

Press Ctrl+A to highlight all the text on the page.

You may need to press the shortcut combination a few times because the text in the document might be in another case such as sentence case or all lowercase.

On Word for Mac, select the text you want to change to uppercase, then press ⌘+SHIFT+K.

Change to Uppercase Using the Ribbon

Another way to change the text case is to go to the Home tab on the ribbon.

  1. Select the text you want to change to uppercase, then go to the Home tab.

  2. In the Font group, select the Change Case drop-down arrow.

  3. Choose UPPERCASE to change the selected text to all uppercase letters.

Word Online doesn’t have a shortcut that changes the case of the selected text. Either edit the text manually or open the document in the desktop version of Word to change the case.

Word offers other ways to change the text case:

  • Sentence Case: Capitalize the first letter of each selected sentence and change the remaining text to lower case.
  • lowercase: Change the selected text to lowercase.
  • Capitalize Each Word: Change the first letter of each selected word to uppercase format.
  • tOGGLE cASE: Change the first letter of every word to lowercase and the remaining letters to uppercase.

Any time you change the case format of text in Word, use the Ctrl+Z shortcut to undo it.

Don’t Have Microsoft Word?

Though it’s simple to do this in Microsoft Word, you don’t have to use Word to change the text to all caps. There are online services that perform the same function. For example, go to the Convert Case website or Capitalize My Title website and paste the text into the text field and choose from a variety of cases. Select from uppercase, lowercase, sentence case, capitalized case, alternating case, title case, and inverse case. After the conversion, copy the text and paste it where you need it.

How to Change Case of Text in Word or PowerPoint

MS Office program makes it simple to automatically change some or all of the texts to a different case, such as all lowercase. The office supports two different methods for changing the case of text that you have already entered into your presentation or document. These methods are:

  • Using shortcut keys on your keyboard
  • Using the Home tab Font section

Change Case Using Shortcut Keys

Both PowerPoint and Word support the Shift+F3 shortcut in Windows to toggle between the three most common selections for changing text case: Sentence case, uppercase (all caps), lowercase and a version of title case (in which each word is capitalized).

Did you type a line of text and then realize that it should have been capitalized differently? Instead of typing the line again, you can quickly and easily change the case of any text in Word without retyping it.

To change the case on text in a Word document, select the text you want to change and make sure the Home tab is active. Then, click the “Change Case” button on the Home tab.

Select the desired type of capitalization from the drop-down menu. The following types of capitalization are available:

  • Sentence case: Capitalizes the first letter of the first word in a sentence.
  • lowercase: Makes every letter lowercase.

Toggle Case may seem like a strange option, but it’s useful if you’ve been typing text without realizing the Caps Lock key is on and the autocorrect option for correcting accidental usage of Caps Lock key is not on. Word has settings to automatically change the case of words that you type, fix common capitalization typing problems add items of your own to have capitalized the way you want them as you type.

Word also has options to manually Change Case in Microsoft Word.

The settings are in the AutoCorrect dialog at File | Options | Proofing tab in the left-hand menu. Then click the AutoCorrect Options button at the top of the page.

That will display a myriad of AutoCorrect options. We’ll focus on the change case and capitalization ones.

Correct Two Initial CApitals

Typing a word with the first two letters in uppercase is easily done by holding down the Shift key a little too long. Perhaps more common with us ‘oldies’ who learned to type on a manual typewriter.

Word fixes that automatically with Correct Two Initial Capitals, it will leave the first letter uppercase and change the second letter to lowercase.

Accidental CAPS LOCK

A similar typing problem is hitting CAPS LOCK accidentally.

If you have the CAPS LOCK key on and press Shift for the first letter of word (making it lowercase), Word will automatically toggle the cases and switch the CAPS LOCK key off.

Other Capitalization Fixes

Word will automatically capitalize:

  • the first letter of a sentence
  • text in a table cell
  • the days of the week in the currently set language.

Turning Off Automatic Capitalization Options

You can turn off any of these options permanently by unticking the relevant box, then clicking OK at the bottom of the dialog box.

I have decided that I don’t want the first letter of sentences to be automatically capitalized, so I have unticked that box:

Adding Specific Words for Automatic Capitalization

If you have specific words that you want capitalized, you can also add these in the AutoCorrect dialogue, under “Replace text as you type”. As long as the “Replace text as you type” checkbox is ticked, you can add your own terms to the list.

For example, if you regularly type an acronym “ABCD”, but don’t want to have to hit the Shift key every time you type it, you can add an item to change “abcd” to “ABCD”

Exceptions to Automatic Capitalization Rules

If you still want the default capitalization rules to apply in most instances, but have specific instances in which you don’t want them to apply, you can set up your own exceptions to these rules.

Still in the AutoCorrect Options dialog, click the Exceptions button on the right-hand side.

The AutoCorrect Exceptions dialog box has three tabs:

Letter

Exceptions to first letter of sentence rule.
Exceptions to capitalizing the first letter of a sentence. Word recognizes the first letter of sentence as a letter coming after a period (full stop), exclamation or question mark.
However, the period is also used at the end of many abbreviations, e.g. …  i.e.  yr. freq. and esp. e.g.
Without exceptions, Word would make mistake an abbreviation for an end of sentence and capitalize the next word.  A list of common abbreviations is already included as exceptions by default so that the next word after these abbreviations is not automatically capitalized.
