Step By Step Thank You Note Wording:
When drafting your thank you letters, use the following guide to make sure you don’t leave anything out.
Start with a Greeting
Open your card with a greeting addressing the recipient. ‘Dear,’ is a standard salutation that is commonly used for notes and cards or you may also decide to just use the recipient’s names. One thing to make sure, is that you’re using the correct form and spelling of the person’s name and anyone else’s names you might be using in your thank you message. How To Say Thank You: Thank You Note Wording
Next, it’s your chance to say the two most important words in the card-thank you. Although it seems like two short words, there are many different ways to say thanks. Just remember who you are speaking to and your own personal style when choosing how to say thanks. Examples of how to express thanks include:

Talk About Specifics
To make each thank you note a one-of-a-kind it’s important that you add specific details to your thanks. What exactly is it that you are thanking this person for? There are a lot of occasions that deserve a special thanks. Did they do something more, something that specifically made you feel special? If so, include that in the note. People love to feel appreciated. Plus, they might not even know that they made a special impact on you until you say thank you for it. If they gave you a gift, now would be a good time to describe how you’re going to use it. If they threw you a party, tell them what your favorite part was. Examples of how to add detail include:
- I can’t wait to use my graduation money to help buy my new laptop for school.
- I was so surprised to see all of my friends and family at my party, that day made me feel so special.
- Here is a picture of me with my new dorm room goodies. Aren’t they cute?
Mention Them
Mention the next time that you may see them, inquire about something going on in their life or just let them know that they are in your thoughts. Examples of looking ahead include:
- I know Samantha had a big game coming up, I hope that went well.
- Thinking about you guys always thanks to that wall calendar you sent, can’t wait to see you next.
- Looking forward to seeing you all again on Thanksgiving, we better start saving room for pies now.
Say Thank You One More Time
Now, as you begin to close your thank you card, restate your reason for writing the note. Add details to say thanks in a different way. Examples of how to restate your thanks include:

There’s no need to have a hard time writing thank you cards anymore with our templates and wording ideas. If you need a little added motivation for putting the pen to paper, pick out a style of stationery that you really love, from holiday cards to more general greeting cards for any occasion. With so many designs to choose from, your thank you cards will not only sound good but look good. No matter what the occasion, make sure to show your appreciation with a hand-written thank you note.
Generic thank you note wording is needed sometimes when writing out thank you notes.
- Do you need some generic thank you note wording because you lost your list?
- Are you unsure of who the gifts were from at your wedding or another event?
- Did you think you would remember who gave what and now you don’t?
- Or perhaps you didn’t plan to write thank you notes for wedding, birthday, or gifts from other events, so you didn’t make a list at the time and now you want to say thank you.
Regardless of why you need a generic thank-you note wording, the examples below may be helpful. And it’s great that you are still expressing gratitude even when you can’t specifically mention the gift.
To admit or not?
When writing the note, you can choose if you want to mention that you don’t know what the gift was or not. Admitting it will mean you can stop trying to remember and avoid being tempted to lie if asked explicitly about the present.
The other choice is not to mention it and only mention that you don’t know what the gift was if someone asks you. Some people may not notice that the note wasn’t specific. By specific I mean the note doesn’t include what the gift was (which is usually my #1 tip for a great thank-you note).
Tips
- Your note can still feel personal and even when you don’t remember what the gift was. The trick is to add a compliment of the person or mention something about the event where the gift was received.
- Usually, I recommend a handwritten note that is written on a notecard that is blank on the inside. This may be a time where you want to use a printed card that has a thank you message already on the inside. Then you can add a quick thank you for the gift underneath the pre-printed message and sign your name. But it could be hard to find a pre-printed message that works for your situation. The handwritten note will help the card feel more personal than only signing your name. And a printed card may make the process feel easier.
- If could add a thankful quote from this list to help add length to your note. Choose a quote that fits your situation.
- If you know that someone gave you money but are not sure how much, that is going to be an easier task to work around in your note as you can still tell the person what you spent the money on. Now, you might not know if it was $10 or $100 and obviously the cost if things vary. So, to cover your bases, use wording like “saving towards” or “it helped us to buy….”. There are more examples for thanking for money here.
- Some people will notice that your note is generic or doesn’t mention the gift they gave you. If you think the person is going to be offended to receive a thank you note that doesn’t mention the specific gift, you may want to lean towards admitting that you lost your list or forgot. Honesty may be the best policy.
- Instead of writing individual notes, make a photo postcard on a site like Shutterfly and include the words “Thank You” on it. If this is for wedding gifts, a picture of the bride and groom will work. Or a picture of the baby for baby gifts.
- If you know what type of gift it was, like maybe baby clothes, you can say “baby clothes” in your note without describing them in detail.

Wording when admitting that you don’t know what the gift was
- Thank you for the gift. I appreciate your kindness. I lost my list of gifts and who gave them, so I don’t know which was from you. I liked them all!
- In the excitement of opening our wedding gifts, we forgot to make a list of who gave each gift. Thank you for coming to the wedding and your gift.
- We received many gifts when the baby was born and know that you one was from you. However, we were not organized and now have no idea who gave each gift. We are so embarrassed! We do appreciate all of the clothes and other items.
- Thank you for your gift, if you gave me one! I can’t remember who gave me what at the party. I am sorry about that. I enjoyed visiting with catching up with you and hearing the latest on your children.
- I am grateful for your gift! I can’t remember which one was from you and lost my list. All the baby gifts from the shower will be used and are appreciated.
- Thank you for your generous gift! Have you ever wondered if newlyweds open cards without reading them and just shake out the cash? We were that couple! Yes, it was fun at the time. And now we don’t know how much was from you. Maybe it’s okay that we don’t know! Thank you for coming to the wedding too.
- Thank you for the gift! I mixed up who give each gift at the shower. I am a little embarrassed about that. I know you likely spent hours choosing a gift for me. I appreciate your time and thoughtfulness.
- I am glad we are friends! Thank you for coming to my birthday party. I lost my list of who gave each gift. If you brought me a gift, thank you for it!
- Thank you for the wedding gift. We have learned a lesson the hard way. When Mom said to keep track of gifts as we were opening them, she was right! We didn’t make a list. Now, we are sending out thank you notes without knowing who gave us what. Thank you for coming to the wedding too.
- The gift list is missing! Instead of delaying even longer, we are sending out thank you notes now. Thank you for any gifts you gave us. We enjoyed visiting with you at the reception and hearing the latest on your children and cats.
Wording when NOT admitting that you don’t know what the gift was
In the first two examples below, in place of the word [event], in your note put birthday, Christmas, surprise, baby shower, wedding, or whatever event is the reason for the gift. If it was a random surprise gift, you could say surprise in place of the event. Or leave it out and just say thank you for the gift.
- Thanks for the [event] gift.
- I was excited to see you at [event]. Thank you for coming and for the gift too.
- Thank you for the birthday gift. Celebrating with you was fun! Let’s have lunch soon.
- I was excited to spend time with you at my birthday party. Seeing you was a delightful surprise. Thanks for the gift too!
- Thank you for your gift. We enjoyed seeing you at the party. Let’s plan to meet for lunch next week.
- I am thankful for all of the baby shower gifts! They will help us when the baby arrives. I enjoyed talking to you at the shower and hearing stories from when your babies were born.
- Thank you for coming to the wedding! We appreciate your gift.
- The food you brought while I was recovering from surgery was excellent. Thank you for taking the time to make it. The whole family enjoyed it.
- Thank you for your kindness and the gift.
- Thank you for the gift, your love, and the ongoing support.
- I am so happy and grateful that you are in my life. Thank you for being there for me.

Writing thank you notes is a skill many of us should have, but perhaps have not yet sharpened. It’s one of those things in life that is absolutely required, but also somehow gets overlooked. Here are 5 steps you can take when writing your thank you notes.
1. Start with a salutation.
It may seem obvious, but generally you’ll want to start your thank you message by addressing your recipient with a salutation. How formal or informal you choose to make this should depend on a few factors.
If you’re well acquainted with your recipient and it’s not a formal thank you card (like a business interaction) then you may be fine addressing them by their first name. For example, if you’re writing to your college roommate to thank them for all the great memories — it’s likely safe to use their first name.
For people you’re not quite as familiar with, stick to Mr. and Mrs. Last name.

2. Get right to the point and express your thanks.
And while you’re at it, make sure to mention what it is that you’re thankful for.

3. Mention a specific detail or two.
What specifically, do you love about their gift? No need to go overboard or exaggerate, if it’s not the greatest pair of sunglasses you ever did see… don’t say so. However, do mention something specific that you appreciated or perhaps how you’re using their gift in your life. People love knowing that their time and effort was appreciated and used!
- I’m so stoked to use the birthday money on my trip to California next week!
- I wore your graphic tee today and got a bunch of compliments!
- We’ve been smoothie-making machines for the past month; we are feeling great.
- It was really exciting getting to know your organization and learning about the senior designer role.
4. Look ahead.
Sure you’re excited about that smoothie mixer they got you, but don’t forget to let them know that you appreciate them as an important person in your life. This may not apply to every single scenario, but if you’re likely to spend any time with this person you can mention that future meeting in your note as a way to move the message along.
- I can’t wait to have lunch with you guys next month.
- I’ll be visiting your neck of the woods in a couple months, can’t wait to come and see you!
- We’d love to have you over for dinner sometime soon and use the new martini glasses with you!
- I am sincerely interested in the position and am looking forward to hearing from you soon.
5. Wrap it up with more gratitude and a warm sign off.
Bring the attention back to where you started: to your gratitude. There should be no question about what the message is all about. It’s ok to spruce it up a bit, but try to stay away from over-the-top language.

- Thanks again for thinking of me, it means so much.
- We are so grateful for your generosity, thank you for thinking of us.
- I greatly appreciate your consideration.
End in a pleasant and friendly tone. Always keep in mind the type of relationship you have with the recipient(s) and sign off accordingly (professionally or casually).

- Do double-check your spelling
- Do surprise someone with a thank you note that may not be expecting it (your hairdresser or your favorite bar tender)
