How to Customize a Letter of Recommendation Template in MS Word
Finding an eye-catching and intuitive template to use for your letter of recommendation is all fine and well, but if you’re unsure as to how to use it, well you could be in trouble.
Thankfully, we’ll show you how to use such a template in Microsoft Word right here so you can start creating letters of recommendation with confidence.
For this walkthrough, we’ll be using the Letterhead Word Template from Envato Elements.
1. Choose the Template Color You Want to Use
Once you’ve downloaded the template, you’ll need to open the Word file to start editing. In this example, you’ll be greeted with several folders for different versions of the template including EPS and PSD.
We want to select the option that says Word File. And once you do, you’ll be met with four .docx files. These are your template options. So, select the color scheme you’d like to use. In our example, we’re using the green option.
2. Swap Out the Logo and Company Info
By default, the Letterhead Template uses shapes and text to create the branding info at the top of the page. You can utilize this and customize it to a monograph for your company or name or replace it with a custom logo — it’s up to you.
To work with what’s there, simply select the «M» and change it to whichever letter you’d like. You can also select the green box background and change its shape to suit your preferences. To do this, click the green box then click the Edit Shape button on the top left side of the screen. Select Change Shape and select the shape you’d like to change the square to. In this case, we changed it to a circle.
3. Adjust Points on a Shape
You can play around with the design of the template as well. For instance, there’s a design in the upper right hand corner of the page. To adjust the shape featured here, double click the dark green section then select Edit Shape as you did before. But next, you’ll click Edit Points.
From here, you can drag the points around on the edge of the dark green shape until it looks how you like. Here, we’ve adjusted it to be more prominent.
4. Change Contact Information
At the bottom of the template, there are three sections where you can list out your company or personal contact information. There’s one for your website and email address, one for phone numbers, and one for your address. To edit these, simply double-click on them and change the template text with your custom content. It’s that simple.
5. Write Your Letter
Besides some finishing touches, all there’s left to do is insert the content of your recommendation letter. This is as easy as selecting the lorum ipsum text and replacing it with your custom letter.
And that’s really all there is to it. Customizing a letter of recommendation template in Word is straightforward.
5 Quick Tips To Write Better Letters of Recommendation Using Word in 2023
Ready to write a letter of recommendation in Word? Here are some tips to help you get started:
1. Start With a Hook
Hiring managers get lots of reference letters. To make yours stand out, start with something to pique their interest, such as something that really stands out about the candidate.
Your recommendation letter will have more authority if you show you really know the person you’re recommending. Drop in some detail about how you’ve worked together.
3. Give Personal Insight
The point of a recommendation is to go beyond the resume or CV. Instead of repeating what the hiring manager already knows, share some insight from your personal experience of working with that person.
4. Relate the Recommendation to the Role
Some people are multi-talented. But you don’t have to put all their accomplishments in your reference letter. Instead, look at the role they’re applying for and focus on the most relevant achievements to highlight.
5. Keep It Short
Most reference letters are a single page. Be selective about what you include to keep within that framework.

Common Letter of Recommendation Questions Answered (FAQ)
If you’re wanting to use a Microsoft Word letter of recommendation template but aren’t sure how to actually approach the letter part, we’ve got you covered. Here are some answers to the most frequently asked questions on the subject:
1. What Is a Letter of Recommendation?
A letter of recommendation is a formal document that provides an evaluation of someone’s skills, character, or other qualities. The person who writes the letter is called the recommender, and the person receiving the letter is called the recommendee. Letters of recommendation are often used in business and academic contexts, but they can also be used for personal reasons (such as when applying for a job or scholarship).
2. Who Should Write My Letter of Recommendation?
Ideally, your letter of recommendation should come from someone who knows you well and can speak to your qualifications in a positive way. This could be a past employer, teacher, coach, or another professional contact. If you’re unsure who to ask, you can always reach out to your network of contacts and see if anyone is willing and able to write a letter on your behalf.
3. What Should be Included in a Letter of Recommendation?
A letter of recommendation should include an evaluation of the recommendee’s skills, character, or other qualities. The letter should be positive in nature and provide specific examples of the recommendee’s strengths. Additionally, the letter should be tailored to the specific context in which it will be used (for example, a letter for a job application should highlight different qualities than a letter for a scholarship application).
4. How Do I Ask Someone to Write a Letter of Recommendation for Me?
When asking someone to write a letter of recommendation, it is important to be polite and respectful. You should also give the person ample time to write the letter, as well as any specific instructions or guidelines that you have been given. Additionally, it is often helpful to provide the recommender with a copy of your resume or CV, as well as any other relevant information that they might need.
5. How Many Letters of Recommendation Do I Need?
This depends on the specific context in which you are using the letters. In some cases, one letter of recommendation may be sufficient, while in others you may need multiple letters. For example, if you are applying for a job, you might only need one letter of recommendation from a past employer. However, if you are applying to college, you might need multiple letters from different sources (such as teachers, coaches, and community leaders).
