In chemistry, not only is there a specific language, but also specific symbols. Empowering those symbols by enabling them to communicate across technologies and formats, as well as simplifying authoring and semantic annotation, is at the heart of the Chemistry Add-in for Word. Informally called Chem4Word, this free tool is being unveiled today during the American Chemical Society’s Spring 2010 National Meeting & Exposition.

Chem4Word makes it easier for students, chemists and researchers to insert and modify chemical information, such as labels, formulas and 2-D depictions, from within Microsoft Office Word. Designed for and tested on both Word 2007 and Word 2010, it harnesses the power of Chemical Markup Language (XML for chemistry), making it possible not only to author chemical content in Word, but also to include the data behind those structures.  Chem4Word and Chemical Markup Language make chemistry documents open, readable and easily accessible, not just to other humans, but also to other technologies.

In the image below, the name and 2D views of the same chemical are shown in the document, along with the Chemistry Navigator, which displays all of the chemistry zones within the current document.

In addition to authoring functionality, Chem4Word enables user denotation of inline “chemical zones,” the rendering of high-quality and print-ready visual depictions of chemical structures and the ability to store and expose semantic-rich chemical information across the global chemistry community.

The product of an ongoing collaboration between Microsoft Research and Dr. Peter Murray-Rust, Dr. Joe Townsend, and Jim Downing from the Unilever Centre for Molecular Science Informatics at the University of Cambridge, the Chem4Word project took inspiration from the mathematic-equation authoring capabilities in Word 2007.  We also have taken advantage of user-interface extensibility and XML features already included in Office 2007 and Office 2010, and we hope this provides a demonstration of the power of Microsoft Office as a platform.  Microsoft Research worked closely with key individuals in the field of chemistry to develop this tool, but Microsoft Office provides the tools and resources to enable other domains to develop on top of Office applications.

Further guiding the development of the Chem4Word project was the Microsoft External Research team’s commitment to supporting the scholarly communications lifecycle, which calls for software and related services that enable the coordinated, seamless exchange of data and information, from authoring through publication to long-term preservation.   

The beta release of the Chemistry Add-in for Word is available for free download. Later this year, it will be released as an open-source project under an Apache license via CodePlex.

For those of you who want to use Mendeley as a citation software, but don’t know how to install it, this article will help you to install it easily. Mendeley is well-liked by many writers. Because one of the advantages is that you can use it for free, aka free of charge.

Mendeley has two types of platforms namely Web-based and Desktop-based. But, it requires users to sign up or register first before using this application. The benefit of having an account at Mendeley is that the data or paper that we put in Mendeley will be stored in the cloud. Therefore, it can be accessed through a computer or laptop or an application on a smartphone.

Here are the steps you need to do to install Mendeley Desktop:

Mendeley Desktop is no longer available for download as of 1st September 2022. You may consider using Mendeley Reference Manager instead. Fortunately, if you have Mendeley Desktop installed, you can still sign in and use it as usual. For more information, see https://blog.mendeley.com

To download Mendeley Desktop, please visit Mendeley’s official website. Mendeley provides three operating systems on PCs that are compatible with this software, such as Windows 7, 8, and 10 (Version 1803), macOS, and Linux.

Next, install the software that you have downloaded. Then, wait for about one to 5 minutes until Mendeley has finished installing. Because it’s free, you don’t need to enter any serial key.

Log in to Mendeley Desktop

The first step that must be done before you can use Mendeley Desktop is to log in. Enter your email and password to start using Mendeley Desktop. The display of the Mendeley Desktop Login page is shown in Figure 4.

If you don’t have a Mendeley account, you must Register or Sign Up first. The way is to click the Register button in the lower-left corner. Then you will be directed to register via the Mendeley website. Next, enter the email you registered as an account and follow the next registration step. The display of the Mendeley register page is shown in Figure 4.

After completing registration, you will have a Mendeley account on the web and that account will sync with the account that we have on Mendeley Desktop. After having an account you can log in by entering the email and password that you created when registering (See Figure 2). The detail is shown in Figure 5.

Import File to Mendeley

If you can enter Mendeley Desktop, the first step you need to do is insert a paper file, book, or other sources that you will refer to. You can see this in the initial appearance of Mendeley Desktop. It has been explained how to import files. You just need to select the Import Document or Library button and then select the file you want to add. Besides documents, you also can import libraries from Endnotes, XML, BibTex, RIS, and others. See Figure 6 for more detail.

Note:
You can add more files after logging in. The way is easiest, is select Add File Icon or follow the instruction in Add and Create comment box. After that select the reference you want to add to Mendeley. See Figure 7 for more detail.

Install Mendeley Citation Plugin for Microsoft Word

The main benefit of Mendeley is it can cite references quickly. So, you don’t need to type references at the end of the paper or thesis manually. Other than that, the software provides a plugin for integration into Microsoft Word. But, the plugin is not automatically installed. You need to install it manually. Just follow the instructions here when you first log in to Mendeley and select >> Install Now. For more detail see Figure 8.

Note:
If you skip this step and haven’t had the time to install the Microsoft Word plugin, you can follow these steps: Select Tools menu >> Install MS Word Plugin. For more information see Figure 9.

Note: Close all Microsoft Word applications when installing the Mendeley MS Word Plugin.

Then, you can start doing citations with Mendeley.

Troubleshooting

Unable to install the Microsoft Word Plugin

For those who are unable to install the Microsoft Word Plugin, Mendeley was not able to find MS word, ActiveX runtime error 429, or other errors when installing the plugin, you might be able to use one of the following methods.

Method 1

This is the easiest method. I assume Mendeley is already installed on your computer. Then:​[1]​

  1. Open Ms. Word, click File -> Options -> Add-Ins
  2. At the bottom, in the Manage option, select Word Add-ins, then click Go...
  3. After that, on the Templates tab, in the Global templates and add-ins option, click Add...
  4. Go to C:Program Files (x86)Mendeley DesktopwordPlugin
  5. Select the “Mendeley-x.xx.x.dotm” file (xx is the plugin version), then click Open
  6. Then on the Templates tab, when the Mendeley file loaded, click OK.
  7. After that, try to check References menu, whether the Mendeley Cite-O-Matic menu already exists.

Method 2

Before starting, we need to display hidden files and folders in settings. In the menu of Windows Explorer, click View -> Options -> Change folder and search options -> select the View tab -> Hidden files and folders -> select Show hidden files, folders, and drives. Then:​[2]​

  1. First, uninstall the Mendeley Desktop from your computer.
  2. Download the latest version of Mendeley from the Mendeley site (if you haven’t)
  3. Reinstall the latest version of Mendeley Desktop
  4. Then open Mendeley, click tool -> install MS word plugin
  5. After that, please open C:Users[YourUserName]AppDataRoamingMicrosoftWordStartup. Or you can search on C:Program Files (x86)Mendeley DesktopwordPlugin
  6. Copy the “Mendeley-x.xx.x.dotm” file (xx is the plugin version)
  7. Then paste it in C:Users[YourUserName]AppDataRoamingMicrosoftWordAutostart
  8. After that, open Ms. Word, try to check References menu, whether the Mendeley Cite-O-Matic menu already exists.

Method 3

  1. First, uninstall the Mendeley Desktop from your computer.
  2. Download the latest version of Mendeley from the Mendeley site (if you haven’t)
  3. Reinstall the latest version of Mendeley Desktop
  4. Then open Mendeley, click tool -> install MS word plugin
  5. Then, click again tool -> uninstall MS word plugin (we need this process)
  6. After that, please open C:Program Files (x86)Mendeley DesktopwordPlugin
  7. Copy the “Mendeley-x.xx.x.dotm” file (xx is the plugin version)
  8. Then paste it in C:Users[YourUserName]AppDataRoamingMicrosoftAddIns (the user name on your computer)
  9. Then, again, open Mendeley, click tool -> install MS word plugin
  10. After that, open Ms. Word, try to check References menu, whether the Mendeley Cite-O-Matic menu already exists.

Alternate way to get mendeley-x.xx.x.dotm file

Some people may be looking for a way to download Mendeley’s dotm file. Commonly, by downloading from the Mendeley site and installing it, we can find Mendeley’s dotm file in the installation folder (usually in C:Program Files (x86)Mendeley DesktopwordPlugin). Then, if you can’t find it after installing Mendeley Desktop, the installer may be corrupted. By the way, you could get Mendeley’s dotm file using these steps:

  1. Download 7-zip and install it.
  2. Download the latest version of Mendeley from the Mendeley site
  3. Right-click on Mendeley’s installer file, then select 7-zip -> Open archive
  4. Go to wordPlugin folder, then you will find the “Mendeley-x.xx.x.dotm” file inside.

Insert citation button missing

When installing the Mendeley word plugin, the Mendeley menu successfully appears in Microsoft Word. But when Microsoft Word was restarted, the Insert Citation button is missing. If you experience this, then you could try the following method:​[3]​

  1. Click the File menu -> Options
  2. Select Trust Center -> Trust Center Settings ...
  3. Select Enable all macros then click OK
  4. Restart the Microsoft Word

But there is a risk in using this method. If the Word file has a harmful macro script, it can have an impact on your computer. So you may need to check the file using an antivirus before opening it in Microsoft Word.

The api-ms-win-crt-stdio-l1-1.0.dll is missing

When installing the Mendeley Desktop, it completes successfully. But you may see an error when opening the Mendeley Desktop, such as “the program can't start because api-ms-win-crt-stdio-l1-1.0.dll is missing from your computer“.

If it is the case, then you need to download the Microsoft Visual C++ Redistributable for Visual Studio as follows:​[4]​

  • x86: vc_redist.x86.exe
  • x64: vc_redist.x64.exe

Then install both of them. However, if your computer is 32-bit, you may need to install only the x86 version.

Ms. Word crashes/hang when using Mendeley

This generally happens when you install the EndNote and Mendeley plugins on Ms. Word. If you have crash/hang issues when using Mendeley, try disabling EndNote:​[5]​

  1. Open the File menu in Ms. Word,
  2. Select Options then Add-Ins,
  3. In the Add-ins list, at the bottom, select COM Add-ins and then click Go,
  4. Uncheck EndNote Cite While you Write,
  5. Click OK.

Uninstalling Mendeley plugin from Ms.Word

It is recommended to remove Mendeley Word plugin via Mendeley Desktop. You could go to Tools menu > Uninstall MS Word Plugin. However, when you uninstalled Mendeley Desktop, this MS Word plugin is not automatically removed. Hence, you need to remove it manually using the following steps​[6]​:

  1. Open Ms. Word,
  2. Go to File -> Options, then select Add-Ins,
  3. Then in the add-ins list, click on Mendeley-x.xx.x.dotm. In this step, you will see the directory in which it is located.
  4. Open Windows Explorer and navigate to the folder mentioned above.
  5. Close all Ms. Word if any.
  6. Delete the Mendeley *.dot file.
  7. Try to reopen Ms. Word, and the plugin should no longer be loaded.

If you can’t find the aforementioned folder, you may need to display hidden files and folders in settings. In the menu of Windows Explorer, click View -> Options -> Change folder and search options -> select the View tab -> Hidden files and folders -> select Show hidden files, folders, and drives.

Microsoft Word is the best tool for writing and formatting text for your academics. Writing chemical reaction and associated symbols in word like various kinds of arrows in Word as easy (like in LaTeX) but what if you want to insert a chemistry formula or diagram of a molecule?. Be it a simple molecule like water or little complex molecule like “Benzene” ring to a very complicated molecule like “sildenafil citrate”, drawing its chemical structure is very easy.

The Chemistry Add-In for Microsoft Word is a chemistry-aware add-in for Microsoft Word, which is sponsored and supported by the .NET Foundation. Microsoft Research and Drs. Peter Murray-Rust and Joe Townsend of the University of Cambridge’s Unilever Centre for Molecular Science Informatics initially developed the open source Chem4Word project. The two organizations assigned the project to the Outercurve Foundation in February 2011.

Features of Chem4Word

The Chem4Word add-in allows the user to interact with chemistry in a document as follows

  • Edit / draw your structures using an embedded open source chemical structure editor called ChemDoodle Web Sketcher.
  • Edit textual descriptors for a structure.
  • Import chemical structures from web services such as PubChem and Opsin.
  • Import files in CML or MDL Molfile format.
  • Export drawn or imported structures in CML or MDL Molfile format. You can use this option to copy drawings to other documents of share them with colleagues

The Chem4Word add-in stores the chemical structures as Chemical Mark-up Language (CML) in the aforementioned Custom XML Parts, then renders the structure inside a Custom Control using Drawing ML. The Chem4Word add-in also allows the user to depict the structure by one of its textual descriptors.  When you edit a chemistry structure and save the results, all of its linked visualizations are also updated.

Prerequisite

This plugin requires the following

  • Ms Office: Office 2010, Office 2013 or Office 2016.
  • Operating System: Windows 7 or later.
  • All operating systems must have the latest Windows updates installed.
  • NET Framework 4.5.2 (You can download it for free from https://www.microsoft.com/en-in/download/details.aspx?id=42642, may require windows restart )

Installation Procedure

  • Download Chem4word Plugin from for free from here
  • Run Chem4Word-Setup.exe: This will automatically download and install the required prerequisite / software like.
    a. Visual Studio Tool for office run time
    b. Chemistry Add-in for Microsoft word.
  • Enjoy!!!

If you do all the steps correctly, then you should see Chemistry Ribbon in your Ms Word.

To draw chemical structure, Click “Chemistry tab” where you will find the option to draw, navigate or import.

After installing plugin, your database will be pre-populated with some molecules. If the molecule you want to draw is available offline database of this plugin, you can directly use it. Navigation base looks something like this.

It allows you to draw any chemical symbols from easy to use and intuitive GUI as shown in figure below. You can draw simple and complex molecule. But this is not the recommend this way of drawing chemical structure. Because 99.9% of all the chemical structure are available in library. Be it a simple molecule like water or little complex like Benzene or a very complex molecule like paracetamol or Sildenafil Citrate. Structure of all these molecules could be imported.

If the molecule you want to draw is not available in offline database / Navigate panel, then you can import it online. You can draw a chemical structure of a molecule by importing structure from the following three online database.

  • PubChem Database
  • ChEBI Database
  • Opsin Database

To import, just click on Import and then select any of the following database and type the desired molecule in search bar. I just tried to draw the chemical structure of “sildenafil citrate” molecule and I just got it on the fly using import option.

Which add-ins should you install?

There are more than 2000 Microsoft Office add-ins. Microsoft Office organizes all add-ins in neat categories. You can also filter them by:

  1. Rating
  2. Name

Microsoft Office also automatically suggests a few add-ins to you. And there’s a category called Editor’s Picks, which displays a few highly-rated selections. Work through the choices and pick the ones that fit your workflow.

How to install and manage Microsoft Word add-ins

There are two simple routes to browse and download the add-ins you want.

1. Microsoft Word has a dedicated Office Store (AppSource), which lists all add-ins available for all Office applications.

How to download add-ins from the Office Store

The Office Store can be browsed like any other website. Filters on the left help you drill down to the add-ins you need.

Do read the reviews for each add-in and check the ratings. The better add-ins will be strong in both areas.

1. Click the blue Get It Now button.

2. Sign into AppSource with your Microsoft account.

3. Give Microsoft permission to install the add-in.

4. Continue the installation by selecting the application you want it for.

How to download add-ins from inside Microsoft Word

1. Go to Ribbon > Add-Ins > Get Add-Ins.

3. Give your permission to Microsoft and allow the installation to proceed.

As in the download from the website, the add-in appears as a button on the Ribbon. When you are done with an add-in, you can close it by clicking the “X” button in the sidebar.

All free and purchased add-ins are part of your Microsoft account. After you’ve added them, you’ll have quick access to them from the My Add-ins button on the menu. The Manage My Add-ins link on the window will also take you to a page where you can see more details.

For e.g. an option to hide an add-in if you don’t want to see it on your list.

If you don’t use an add-in, then you can always delete them to clean up your list.

How to delete add-ins you don’t want

1. When you want to remove an add-in, go to Ribbon > Add-ins > My Add-ins. If you don’t see your add-in, then click on the Refresh link at the top of the window.

2. In the Office Add-ins window, click the menu option (three dots) for the specific add-in and click on Remove.

Microsoft Word has a nice Icons gallery on the Ribbon to help you communicate with symbols. But it’s always useful to have quick access to more. Symbol Search has a categorized lineup and a handy search box to find a unique symbol.

Word clouds add a visual element to any document or presentation. If it’s text dense, then you can use a word cloud to check the frequency of your main keyword. It can also help summarize the core idea of any document for your readers.

You can customize the word clouds with different sizes, fonts, layouts, and color schemes.

Key Benefit: Find the right photo or clipart to use from a vast image bank.

Pickit is a stock illustration site that can complement your documents with beautiful photos and clipart. PowerPoint designs aside, you can create impactful Word documents too by breaking up text with a photo that sends a visual message.

The add-in is free to download but you have to subscribe for premium features after seven days.

You can save a lot of time as you do not have to download or upload the files from the desktop.

Digital signatures have become foolproof and legally binding identification tools for critical documents. In many countries, they are the same as physical signatures on paper documents. Sign in with your Microsoft 365, Microsoft, or DocuSign account. Email a completed copy of the signed documents, and automatically save them in DocuSign or on a cloud platform for collaboration.

Legal documents should always be standardized. It makes it not only easier to understand them but also saves a lot of time when you need to reuse them. Woodpecker is an easy-to-use add-in that removes the chore of re-creating legal docs every time you need to change a minor detail.

Woodpecker also promises secure document management and collaboration with your own account. Project managers can try this add-in to enhance the role of their Word templates.

19. Font Finder

Cost: Free.

Key Benefit: Select and save your favorite fonts.

It is surprising that desktop publishing software like Microsoft Word still does not have an adept font management system. For instance, you cannot save your favorite fonts. You can create styles for them, but that is a roundabout way. Font Finder makes it easier.

Use the add-in tab screen to browse through the categorized fonts. Search for the font you want to use and set them as favorites with a click on the star. However, a small pitfall is that it seems to ignore fonts that do not come with Word.
