Line spacing

Document text can be formatted to show a number of line spacing options. The most common spacing options are single spaced and double spaced.

Line spacing is measured in lines, or points.

When line spacing is measured in points, it is referred to as leading (rhymes with wedding). When you reduce the leading, you automatically bring lines of text closer together, sometimes making it difficult to read. Increasing the leading will space the lines out, allowing for improved readability. For example, a 10-point font usually uses 12-point leading. This is the default and, in general, should be used.

To format line spacing:

  • Select the text you want to format.
  • Choose Reveal Formatting on the task pane, and click any of the blue links under the Paragraph heading.

  • Click Format on the menu bar.
  • Select Paragraph. The Paragraph dialog box appears.
  • Click the Indents and Spacing tab.
  • In the line spacing drop-down menu, you can select single, 1.5, or double spacing. The default is single spacing.

I have Microsoft Office Pro 2003. When I clicked on the Word icon to open up a new document today, I noticed that there were no spaces between the three pages of data that I had pasted on it. Just dotted lines that signified what I guess you would call a page break.

Let me see if I can explain that better. It used to be that when I opened up Word to start a new document, there was one white page displayed with a colored border all the way around it. I don’t know where that border or color comes from or how to change the color. I just see it in front of me.

Then, after I finish typing on page 1, Word automatically brings up page two, but there’s a good quarter inch of space between the two pages and I can even see that color I mentioned.

Obviously something is wrong and either there’s a setting somewhere that will restore it to the way I described above or I’ll have to run a repair installation on Office, maybe even an uninstall and reinstall.

But first, your thoughts.

What was the source of those three pages you pasted?  What View are you using, Print Layout, Web Layout, etc.?

When you are in what is called «Normal» view the space between pages appear as you described.

Change it to «Print Layout» view by opening the «View» menu and choosing «Print layout».
Now it will be fine.

Generally, line spacing varies depending on the font and point size of the text in each line. If a line contains a character that is larger than the surrounding text, such as a graphic or a formula, Microsoft Word increases the spacing for that line.

However, if you have specified exact line spacing on the Indents and Spacing tab (Paragraph dialog box, Format menu) that is too small to accommodate large text or graphics, the graphics or text will appear clipped. To see the entire graphic or text, increase the spacing in the At box, or select an option other than Exactly in the Line spacing box.

Certain vertical alignment settings can change the amount of spacing in between paragraphs. If the vertical alignment is centered, then Microsoft Word moves the paragraphs to the center of the page. If the vertical alignment is justified, then Word distributes the paragraphs so that they fill up the vertical space.

To check vertical alignment, click Page Setup on the File menu, and then click the Layout tab. Under Page, note the setting for Vertical Alignment.
