Make tags in word

This tutorial shows how to use tags in Microsoft Word. Specifically, we’ll look at three ways to add tags to Word documents:

1. Add Tags through the Backstage View

2. Add Tags through Advanced Properties

3. Add Tags through Save As

Then, we’ll look at how to delete tags in Word documents.

The final section shows how to search for known and unknown tags through the File Explorer in Windows.

Please note that the images below are from Microsoft Word for Microsoft 365. These steps also apply to Word 2021, Word 2019, Word 2016, and Word 2013.

Before we begin, let’s tackle an important question …

What Are Tags in Word?

In Windows, tags are custom keywords attached to Word documents and other files that help with search and organization.

Tags can be any word, phrase, or number string related to the file, such as product names, item numbers, internal filing codes, or project nicknames—basically anything that may help you locate the file later.

The following five steps show how to add tags to Word files through the Backstage view.

1. Select the File tab in the ribbon.

2. Select the Info tab in the Backstage view. (You’ll probably already be in the Info tab by default.)

3. Select Add a tag in the Properties section. The text will become a text box.

4. Type your tag or multiple tags separated by semicolons in the text box.

Important Note: If you separate tags with commas instead of semicolons, Windows will view them as one tag and won’t provide an accurate file search.

5. Save the file in order to save your new tag or tags.

The following eight steps show how to add tags to Word files through the Advanced Properties dialog box.

1. Select the File tab in the ribbon (see figure 1).

2. Select the Info tab in the Backstage view (see figure 2).

3. Select the Properties heading.

4. Select Advanced Properties in the drop-down menu.

5. Select the Summary tab in the Advanced Properties dialog box.

6. Type your tag or multiple tags separated by semicolons in the Keywords text box. (The term keywords means tags in this dialog box.)

7. Select the OK button to close the Advanced Properties dialog box.

Notice that the tags now appear in the Properties section of the Backstage view.

8. Save the file in order to save your new tag or tags.

The following six steps show how to add tags to Word documents through the Save As dialog box in Windows.

1. Select the File tab in the ribbon (see figure 1).

2. Select the Save As tab in the Backstage view.

Pro Tip: You can also use the shortcut F12 (or Fn + F12) to open the Save As dialog box from anywhere in Windows, including from Word’s main view.

3. Select the More Options link.

4. Type your tag or tags separated by semicolons in the Tags text box in the Save As dialog box.

5. Name your file and select the destination where you want to save the file, if you haven’t already done so.

6. Select the Save button.

The following four steps show how to delete tags attached to Word files. These steps should work regardless of the method used to add the tags. However, these steps won’t work on files marked as Read Only or similarly protected.

1. Select the File tab in the ribbon (see figure 1).

2. Select the Info tab in the Backstage view (see figure 2).

3. Delete the unwanted tag or tags in the Properties section (see figure 4).

4. Save the file in order to save your deletions.

We’ll begin by looking at how to search for tags when you know the tag or tags specifically. Then, we’ll look at how to search for tags when you don’t know the exact tag or tags you want to search for.

Method One: Searching for Known Tags

The following two steps show how to search for known tags attached to Word files and other files using the File Explorer in Windows.

1. Press the Window key + E on your keyboard to open the File Explorer.

2. Type tag: followed by the tag name in the File Explorer search box. The results will appear as you type.

Method Two: Search for Unknown Tags

The following five steps show how to search for unknown tags attached to Word files and other files using the File Explorer in Windows.

1. Press the Window key + E on your keyboard to open the File Explorer.

2. Navigate to the folder containing the files you want to search in the File Explorer.

3. Right-click on the column heading section and select Tags from the drop-down menu if the Tags column isn’t already displayed.

4. Select the menu arrow on the right side of the Tags column header.

5. Select the tag or tags you want to search for from the drop-down menu. The results will appear as soon as you make your selection.

How to Organize Word Documents With Tags

Tags make finding and organizing your documents easier

Add tags, or keywords, to Microsoft Word documents to make documents easier to find. By default, when you save a Word document, there are no tags saved along with it, but you can add your own before or after you make the document.

Instructions in this article apply to Word 365, Word 2019, Word 2016, Word 2013, and Word 2010.

Tags are useful when you have several related documents in a single folder or on a flash drive, for example, and each document has a non-descriptive or nearly identical file name like project.docx, otherproject.docx, and otherproject1.docx. To quickly find related files in a folder, categorize each file by applying a tag. Then, search the folder for a specific tag to find documents with that tag.

Here’s how to add tags to a Microsoft Word document:

  1. Go to File > Save As.

  2. Select Browse.

    In Word 2010, skip this step.

  3. Choose where to save the document and enter a name for the file.

  4. In the Tags text box, enter the desired keywords. Word automatically places a semi-colon at the end so you can add multiple tags.

    Word might recommend tags as you type. Select an autosuggestion, if one matches your needs, and use your custom tags.

  5. Save the document.

How to Add Tags Using Windows Explorer

You can add tags to a Word document even if you don’t have the app installed. Here’s how:

  1. Open Windows Explorer and find the Word document.

  2. Right-click the file and choose Properties.

  3. Go to the Details tab.

  4. In the Tags text box, enter the keywords.

  5. Select OK to save the tags and close the dialog box.

How to Edit or Remove Word Document Tags

Once you’ve added tags, edit or remove tags using the method described above. You can also choose to remove all tags from a Word file using the following steps:

  1. Locate the document in Windows Explorer.

  2. Right-click the file, then choose Properties.

  3. Go to the Details tab.

  4. Select Remove Properties and Personal Information.

  5. Select Remove the following properties from this file.

  6. Select the Tags check box.

  7. Select OK to save the changes and close the dialog box.

Create and print a page of different labels

  1. Go to Mailings > Labels.

  2. Select the label type and size in Options.

    If you don’t see your product number, select New Label and configure a custom label.

  3. Select New Document.

  4. Word opens a new document that contains a table with dimensions that match the label product.

  5. If gridlines are not displayed, go to Layout > View Gridlines to turn gridlines on.

  6. Type the information you want in each label.

  7. Go to File > Print and select the Print button.

    You can save the document for future use.

  7. Type the text that you want in each label, and make any color or formatting changes using the options on the Home and Page Layout tabs.

  8. Save or print the labels like any other document in Word.

  3. Select the type of printer you’re using.

  4. Select your label brand in Label products.

  5. Select the label type in Product number.

    If you don’t see your product number, select New Label and configure a custom label.

    Word opens a new document that contains a table with dimensions that match that label product.

  8. Type the information you want in each label.

    If gridlines are not displayed, go to Layout > View Gridlines to turn gridlines on.

  9. Go to Print > File, and then select Print.

  10. Save the document for future use.

Word for the web doesn’t support directly creating labels. However you can create labels from a template. For label templates, select More templates when you create a new document in Word for the web.

You can also go to templates.office.com, and search for label.

  1. Select a label template and open in Word for the web. 

  2. For a sheet of identical labels, fill out one label, and then copy/paste for the rest.

Tip: Print your labels to a sheet of paper before loading labels into the printer to make sure the text aligns with the labels.

Its direct purpose is to create and print mailing labels. You’ll only need to make a small change to use the same function to create name tags. In order to create your own name tags in Microsoft Word you need:

  • The first step to creating your own name tags in Microsoft Word is to launch Microsoft Word.
  • After that, you need to open an empty document.
  • Next, you need to open the ‘Mailings’ tab. In this tab select ‘Labels’.
  • The next step is to select the ‘Options’ tab. The ‘Options’ section is placed in the ‘Envelopes and Labels’ window.
  • Now that the ‘Envelopes and Labels’ window is open in front of you. You’ll see an item called ‘Laber vendors’ in which you need to select ‘Microsoft’ from the drop-down list.
  • Then, a little bit below the ‘Product Number’ box, you need to select ’30 Per Page’ from the drop-down list. After that click on ‘Ok’ to confirm your actions.
  • You’ll then return to the ‘Envelopes and Labels’ box. You need to click on ‘New Document’.
  • Only after this, you’ll see a page of labels separated by a grid of dotted lines.
  • In each cell created, enter the names or titles you want. You can easily navigate through each box using the ‘Tab’ key. Using the top bar you can change the font, style, size, and more.

What steps to take to create name tags using a template in Microsoft Word

There is also another way to make fairly original name tags in Microsoft Word. This way will suit those who have a new version of Microsoft Word, in addition, this method is faster and more presentable appearance, as it was made by professional designers. This might be more useful to you if you need name tags for a more serious event.

To make your name tags look even more presentable. In this case, you should use a Word template. Microsoft offers several free options and some additional premium templates for Microsoft 365 subscribers. In order to create name tags using a template in Microsoft Word you need:

  • First, review the available templates for your version of Word. To do this, click on ‘More Templates’ on the home page. In the search box, enter ‘name badge’ to save time and immediately see the templates you want.
  • If after checking there’re no templates available or suitable, you can sign up for a premium account. This way you’ll have a wider selection of templates in front of you.
  • Once you have made your selection you can click on it. Your template will be placed fully on the page of your document.
  • After that, you can make edits and specify the information you need to make name tags in Microsoft Word.

There is another way to get templates for creating nameplates in Microsoft Word. You can use the Office Templates Web site to view the nameplates. You can then download the template to use in the Word desktop app. To use these templates, choose which of the options presented suits you best:

  • Star concert tickets
  • Gift labels
  • Graduate name cards
  • Shipping labels

In order to use them, after you have followed the link and opened this template, click on the ‘Download’ button. You can also browse through the ‘Labels’ section of all the options to match your preferences and needs.

Word Name Tags

If you’re holding an event where you want participants to wear name tags, you can make them easily in Microsoft Word. We’ll show you two ways to create name tags using Word’s label feature and a free template.

Whether for a fundraising event, seminar, conference, or something similar, name tags are helpful for everyone to communicate more easily. You can use first names only, include last names, and even add a company name. Microsoft Word gives you a simple way to create name tags that you can then print or send to your print service company.

Create Name Tags Using Labels

Microsoft Word has a built-in label feature that comes in handy for making and printing mailing labels. With a few small tweaks, you can use this same feature to create name tags.

Open a blank document in Word, go to the Mailings tab, and select “Labels” in the Create section of the ribbon.

In the Envelopes and Labels window, confirm that the Labels tab is selected and click “Options” near the bottom.

In the Label Options window that appears, choose “Microsoft” in the Label Vendors drop-down box. Below that, pick one of the 30 Per Page options in the Product Number box. You’ll see the size display on the right for each option. Click “OK.”

You’ll then return to the Envelopes and Labels window. Click “New Document” and you’ll see your page of labels divided by a grid of dotted lines.

Enter the names and any other details you like for each tag. You can move easily through each badge using your Tab key. You can then format the font size, color, and style using the Font section on the Home tab.

If you prefer to use labels from a particular company, you can select that in the Label Vendors box and pick the Product Number below it.

Create Name Tags Using a Template

If you want your name tags to have some pizazz, you can use a Word template. Microsoft offers a few options for free with a couple of additional premium templates for Microsoft 365 subscribers.

You can view available templates for your version of Word easily. Open a document, go to the File tab to select Home, and click ” More Templates.”

Alternatively, you can use the Office Templates website to view the name tags and download a template to use in the Word desktop application.

Here are two templates that are available for free and accessible via Word desktop and the web.

This template gives you eight name tags per page with bright colors. It’s ideal for events where you only want to use first names. The badges are 3.4″ x 2.3″ and work with Avery product numbers 5395, 8395, and 45395.

If you’re having a holiday event, you might like these name tags with themed images like a snowman, candy canes, and gifts. This template gives you spots for both first and last name. Like the above, it also has eight name badges per page in the same sizes and works with the same Avery product numbers.

Using either template, simply select the placeholder text and enter your own.

For your next event, consider creating name tags in Microsoft Word instead of buying labels and handwriting the names.

If you love working in HTML, you know that it is created by simply adding tags to regular text. Tags do nothing more than describe how a browser should display the text. HTML can be created by hand or automatically, by program. You can even use Word to create your HTML for you.

What if you don’t want Word to do the HTML automatically, but you want to use Word’s tools to help you in your HTML creation? For instance, you might want to search for italicized text within a document and then surround it with the HTML tags that signify the text should be displayed in italics. You can do this by following these steps:

  1. Press Ctrl+H. Word displays the Replace tab of the Find and Replace dialog box.
  2. Click on the More button, if it is available. (See Figure 1.)

  4. With the insertion point in the Find What box, click the Format button and choose Font. Word displays the Find Font dialog box. (See Figure 2.)

  6. In the Font Style list, choose Italic.
  7. Click on OK to dismiss the Find Font dialog box.
  8. In the Replace With box, enter «<em>^&</em>» (without the quote marks). Both <em> and </em> are HTML tags for italic, and ^& is the special code for the Find What text. In other words, you want to replace what you find with what you found, but make sure it is surrounded by the HTML tags for italic.
  9. With the insertion point still in the Replace With box, click the Format button and choose Font to again display the Find Font dialog box.
  10. Scroll down in the Font Style list and choose Not Italic. You want to do this so that when the find and replace operation is done, not only have you added the proper HTML tags, but you are turning off the italics attribute of the found text. This is important so that if you later run the same macro on the same document, you don’t get large numbers of nested HTML tags.
  11. Click on OK to dismiss the Find Font dialog box.
  12. Click on Replace All to process the entire document or use the other buttons in the Find and Replace dialog box to step through the occurrences of italic text one at a time.

The same find and replace technique can be used to add other HTML tags, as desired. For instance, you could add the tags for bold text, <strong> and </strong> by searching for Bold in step 4, using the proper tags in step 6, and replacing with Not Bold in step 8.
