Project schedules are made up of tasks—a lot of tasks. The crucial step in scheduling any project is organizing those tasks. Need to show status for a simple project schedule with a Gantt chart? Though Excel doesn’t have a predefined Gantt chart type, you can create one using this free template: Gantt project planner template for Excel

Need to show status for a simple project schedule with a Gantt chart? Though Excel doesn’t have a predefined Gantt chart type, you can simulate one by customizing a stacked bar chart to show the start and finish dates of tasks, like this:

To create a Gantt chart like the one in our example that shows task progress in days:

  1. Select the data you want to chart. In our example, that’s A1:C6

    If your data’s in a continuous range of cells, select any cell in that range to include all the data in that range.

    If your data isn’t in a continuous range, select the cells while holding down the COMMAND key.

    Tip: If you don’t want to include specific rows or columns of data you can hide them on the worksheet. Find out more about selecting data for your chart.

  2. Click Insert > Insert Bar Chart > Stacked Bar chart.

    On the Insert tab, select Bar Chart, and then select Stacked Bar Chart

  3. Next, we’ll format the stacked bar chart to appear like a Gantt chart. In the chart, click the first data series (the Start part of the bar in blue) and then on the Format tab, select Shape Fill > No Fill.

    On the Format tab, select Fill, and then click No Fill

  4. If you don’t need the legend or chart title, click it and press DELETE.

  5. Let’s also reverse the task order so that it starts with Task1. Hold the CONTROL key, and select the vertical axis (Tasks). Select Format Axis, and under Axis Position, choose Categories in reverse order.

Customize your chart

You can customize the Gantt type chart we created by adding gridlines, labels, changing the bar color, and more.

  • To add elements to the chart, click the chart area, and on the Chart Design tab, select Add Chart Element.

  • To select a layout, click Quick Layout.

  • To fine-tune the design, tab through the design options and select one.

  • To reuse your customized Gantt chart, save it as a template. Hold CONTROL and click in the chart, and then select Save as Template.

Scheduling Projects using Excel Project Management Gantt Chart Scheduler

You can add projects in the ‘Projects Schedules’ Worksheet. Clear the existing Projects in the Sheet (Range B4:B13), and start entering your Project Names from B4. Do not clear the other columns in the Project Schedules Sheets. They are automatic fields and change the based on your plans.

Projects Progress Chart

You can see the %Progress of each Projects in the Chart in the Project Schedules Sheet. You can see how much % of work is completed in the Projects Progress Chart. It is calculated automatically when you enter or change your Project Schedules.

Project Tasks

Project Tasks Column in the Projects Schedules Table is an automatic Field. We have used the COUNTIF functions to Calculate Total Tasks under each Project.

Project Start Date

Start Date of a Project is an automatic filed calculated using the Start Date Fields of the Project Tasks. We have used MIN function to calculate the Project Start Date.

Project End Date

Project End Date is an automatic filed calculated using the End Date Fields of the Project Tasks. We have used MAX function to calculate the Project End Date.

Project Duration

Duration of a Project is an automatic filed calculated using the Days required to complete the Tasks under each project. We have used SUMIF function to calculate the Project Duration field.

Percentage Progress Completion of a Project

Percentage Progress of a Project is calculated using %Progress of Project Tasks. We have used AVERAGEIF function to calculate the %Progress Completion of a Project.

Pending % Task of a Project

Remaining %Task is calculated the above field (% Progress Completed). We have used the formula (100% – %Progress Completed) to get the Pending % Progress. This helps to understand how much work is due to finish.

Free Excel Project Management Gantt Chart Template

We have provided a spate sheet (Gantt Scheduler) with Gantt Chart and Project Tasks.  You can see any 25 tasks at a time, you can choose any Project from the List of Projects to see the respective Gantt and Project Schedules.

Project Dashboard:

When you select any Project, Project Dashboard will be populated with respective data and tasks. You can see the Project Name, Start Date, End Date, % Progress Pie. You can also see the Days required and Total man-days spending to complete the Task.

Viewing Project Schedules:

You can see your Project Schedules in a Data List format and Gantt Chart. You can click on the Task Grid button to view the Project Schedules on a Table format. Click on the Gantt Chart button to create the Gantt Chart for your Project Schedules.

A step-by-step guide to make a schedule in Excel

Note: In this tutorial, we use Microsoft Excel for Mac Version 16.60. The steps and features may look different if you’re on another version.

Let’s be honest—it’s easy to get distracted, lost, or forgetful in your day-to-day with so many tools and emails. Work suddenly feels like a tough mountain to climb and getting through the day is just the goal.

1. Open the Excel app and click More templates at the top right-hand corner. Select the Daily Schedule template

2. Edit cell F3 with a start time that works best for you. Click enter on your keyboard to apply
