Surely, read-only excel file could prevent accidental changes on it. But read-only mode could be removed or disabled as you wish anytime when you want to edit excel file?

I don’t know. But I think some options you have used to set excel workbook read only, would be able to remove this setting always. So that you can remove or disable read only in excel file. Now in this article, I will list several possible cases that make your workbook and worksheet read only and introduce how we can do to remove read only status from Excel file.

  • Case 1: Excel file is made read-only by “Mark as Final”
  • Case 2: Excel file becomes read-only recommended by “Save As”

1. Open a workbook.

2. On the File tab, click Save As.

3. Click Browse.

4. Click on the Tools button and click General Options.

5. In the Password to modify box, enter a password and click OK.

Note: this feature does not encrypt your Excel file. Malicious users can edit the file and remove the password.

7. Enter a file name and click Save.

Your workbook is read-only now. The password for the downloadable Excel file is «easy».

Information moves quickly with modern technology. With a single email, a colleague can share a complicated Excel worksheet for you to customize as needed. There is one problem: That file is locked as “read-only.” You can unlock this quickly within the program, without even needing super-spy powers.

Unlocking Made Simple

The key to unlock an Excel 2011 or 2016 worksheet is in the File menu of the Finder feature on your computer. Get out of the Excel program, closing the worksheet. Go to the Finder menu box; this is not in Excel but rather is the main finder in your computer’s C-drive where you search for saved files. Search for the named Excel worksheet in question. Select it, then under «File,» select «Get Info.» Note that on some versions of Excel, this is also accomplished with a right-click on the filename. At the top under the General tab will be a box checked if the worksheet is locked. Uncheck this to unlock it. Once it is unlocked, reopen the file in Excel to work on it.

Excel 2010 and 2013 also use a «Protected View» banner that prevents editing unless you click the «Enable Editing» button on the right side of the banner. Once you click this, you are able to edit the Excel document.

If the file doesn’t unlock, you might not have permission to unlock it. If this is the case, you need to request permission from the original sender.

Sharing and Permissions

Now that you can edit and manipulate the data in the worksheet, you might want to share it with your team or colleagues. But you also might not want them to change data, using it for review only. You can lock the file from your end. In the same tab you used to unlock the file, check the box to lock it. This does, however, prevent you from being able to change anything else.

You can instead lock it through sharing and permissions located at the bottom of the Get Info box. It will list your name, your staff and everyone else who has access to this file. Each name listed has a drop-down privilege to either “read only” or “read & write.” Make sure you have read and write permission, but give everyone else read-only.

Difference Between Locked and Read-Only

The two ways to lock and unlock the worksheet can be confusing. If you can unlock a file, can’t your team unlock it as well? Yes, if the privileges they are given say they can read and write. Only owners, creators and those given these permissions are able to unlock the file.

It is possible, therefore, that you receive a file as locked and even checking the box doesn’t unlock it. The reason is you probably don’t have permission to read and write. You would need to ask the original file creator to resend it after updating your permissions. Once that’s done, you can manipulate and change the information.

If you want to remind everyone that a workbook should only be changed if necessary, you can recommend that the workbook be opened as read-only.

Note: Prompting to open as read-only will not prevent changes from being made to your workbook. For stronger protection, set read-only status by locking the workbook with the Finder, or require a password to save changes.

  1. Open the workbook you want to protect.

  2. Click the File menu, and then click Passwords.

  3. In the File Passwords dialog box, select the Read-only recommended check box, and click OK.

  4. Close the workbook.

The next time the workbook is opened, a message will ask if you want to open as read-only.

  1. Open the workbook that you want to protect.

  2. On the Review tab, under Protection, click Passwords.

  3. In the File Passwords dialog box, select the Read-only recommended check box, and click OK.

  4. Close the workbook.

Why Lock an Excel Workbook

Protecting an Excel workbook with a password can work in two ways:

  • Prevent unauthorized access to the workbook
  • Restrict users from modifying the contents of the spreadsheet (makes it read only)

In both instances, you can protect an Excel workbook with a password to make it read only. This means users will be able to open the workbook and view the data but won’t be able to make any changes to the spreadsheet. This is vitally important if you are running a small to medium-sized business and want to ensure the integrity of your financial data.

How to Save an Excel Workbook as Read Only

Here’s a step-by-step guide on how to lock an Excel spreadsheet or workbook with a password and make it read only.

  1. Open the workbook you want to safeguard. Go to “File -> Save As” option in the menu.
Save As
  1. Next, click “Browse” to bring up the “Save As” dialogue box.
  2. In the “Save as type” dropdown, make sure you’re using a proprietary Excel format (Excel Workbook, Excel 97-2003 Workbook, Excel Add-in etc.), otherwise the password protection feature in the next step will be greyed out.
Password Protect Excel Workbook Save As Type
  1. At the bottom of the box, click “Tools” option just next to the “Save” button. Click on “Tools” and a drop-down menu will open. Select and click “General options” in the drop-down menu.
Save Type
  1. Enter your desired password in the “Password to modify” box as illustrated below. If you have a password manager already installed, you can use it to generate a strong password for you and store it in the vault. Otherwise, you can use this guide on how to generate hard-to-crack passwords. With the password secured, check the box for “Read-Only recommended,” then click “OK.”
General Options
  1. You’ll be prompted to confirm the password. Enter the same password, then click OK to complete the process. Lastly, click the “Save” button. Now, every time a user attempts to open the workbook, a pop-up notification box will appear with the following message.
Password
  1. Clicking the “Read-Only” button will open the document but in Read-Only mode. Only those you share the “password to modify” with will be able to make changes to the workbook.

How to Unprotect an Excel Workbook

What if you want to lift the read-only restriction and grant everyone editing privileges? Removing the Read-Only feature is an easy process and can be done with just a click of a button. All you’ll need to do is go through the same process again and uncheck the box that makes your Excel workbook Read-Only.

  1. Click on “File -> Save As” and in the dialogue box that shows up, select “General Options” from the “Tools” dropdown menu next to the “Save” button.
  2. Uncheck the “Read-Only recommended” box. Remove the password that you had set and click “Save” to apply the new changes.

The next time you open the workbook, it will not open in Read-Only mode, nor will it display the Read-Only restriction box.

Frequently Asked Questions

What if I forgot my Excel workbook password?

The best workaround to this is to copy all the data from the original workbook into a new one, then save the new workbook with a password that you actually remember. Note that this will only work at the “read-only” password level, not if you’ve set a password for the entire workbook.

How secure is my Excel workbook password?

Since MS Office 2016, 256-bit AES protection has been integrated, upgrading from the old 128-bit encryption, which makes modern Excel comparable to dedicated password managers.

Are there other ways to hide workbook data?

Say you want someone having read-only access to a workbook, but you only want them to see certain data in it; the best way to moderate this is by right-clicking the rows or columns you want to hide, then click “Hide.” To reveal the columns again, highlight the columns either side of the hidden one, right-click at the top, then click “Unhide.”

Take Advantage of Excel File Encryption

Setting a password in Excel to protect any workbook is easy and self-explanatory. Nevertheless, it can give a great deal of control over who can access and/or edit a workbook. This can go a long way in maintaining data integrity.
