Dictation lets you use speech-to-text to author content in Microsoft 365 with a microphone and reliable internet connection. It’s a quick and easy way to get your thoughts out, create drafts or outlines, and capture notes.

Open a new or existing document and go to Home > Dictate while signed into Microsoft 365 on a mic-enabled device.
Wait for the Dictate button to turn on and start listening.
Start speaking to see text appear on the screen.

How to use dictation

Open a new or existing document and go to Home > Dictate while signed into Microsoft 365 on a mic-enabled device.

Tip: You can also start dictation with the keyboard shortcut: ⌥ (Option) + F1.
Wait for the Dictate button to turn on and start listening.

Troubleshooting

If you can’t see the button to start dictation:

Make sure you’re signed in with an active Microsoft 365 subscription
Dictate is not available in Office 2016 or 2019 for Windows without Microsoft 365
Make sure you have Windows 10 or above

If you see the dictate button is grayed out

Make sure the note is not in a Read-Only state.

Microphone doesn’t have access

If you see «We don’t have access to your microphone»:

Make sure no other application or web page is using the microphone and try again
Refresh, click on Dictate, and give permission for the browser to access the microphone

If you see «Dictation can’t hear you» or if nothing appears on the screen as you dictate:

Make sure your microphone is not muted
Adjust the input level of your microphone
Move to a quieter location
If using a built-in mic, consider trying again with a headset or external mic

If you see a lot of incorrect words being output or missed words:

Make sure you’re on a fast and reliable internet connection
Avoid or eliminate background noise that may interfere with your voice
Try speaking more deliberately
Check to see if the microphone you are using needs to be upgraded

If you didn’t experience the early days of dictation software, consider yourself lucky. It was tedious and imprecise. I was an early adopter and remember thinking this feels like way more work than reward. But that’s the nature of technology—we’re all guinea pigs at some point.

Fortunately, we now get to experience dictation technology that actually pays off. While not perfect, it’s accurate more than 90% of the time. You can speak at your natural cadence, which was unheard of back in the 1990s. And with voice commands, you’ll be more productive while doing it.

Here, I’ll walk you through the different types of speech-to-text software and provide tips for getting the most out of what you use. And, of course, I’ll share my selections for the best dictation software with detailed reviews for each app.

The best dictation software

What is dictation software?

As you search online for dictation software, keep in mind that it can include all different types of apps and services. The terms dictation software, speech-to-text, voice recognition, voice-to-text, and speech recognition can all mean a program that converts your voice to text on a screen in real-time. But sometimes lumped into a search for these terms are products that provide something else entirely.

For example, some products will transcribe audio files to text, but they don’t transcribe your voice to text in real-time. Others market themselves as personal AI assistants (performing all computer tasks using speech) and may include a dictation component. And you may run across companies that provide human transcription services—using real people to transcribe your voice files to text.

Then there are those AI assistants built into many of the devices we use each day: Apple’s Siri, Amazon’s Alexa, and Microsoft’s Cortana. These are fine for scheduling meetings, playing music, and finding a place to eat, but they aren’t designed to transcribe your articles, meetings, and other documents.

For this review, I’m focused on software, whether standalone or embedded in a device, meant for transcribing speech to text.

Why would you want to do that? For starters, dictation software provides accessibility to those with disabilities—both physical and language-based—to access technologies and be more productive. For example, if you’re unable to use your hands, you can still operate a computer, create documents, and access the web with dictation technology. And those with chronic conditions such as carpal tunnel syndrome can prevent the repetitive stresses that come with typing, simply by using their voice.

But as the technology has improved over the last 20 years and costs have come down, dictation software is now accessible to everyone as a tool to increase productivity almost instantly. Students can write papers and transcribe lectures into notes depending on the software’s capabilities. And the casual user can dictate notes, a shopping list, a text, or a reminder while performing other tasks, making multi-tasking a reality. Think: taking a walk while «writing» your next novel.

What makes a great dictation app?

How we evaluate and test apps

All of our best apps roundups are written by humans who’ve spent much of their careers using, testing, and writing about software. We spend dozens of hours researching and testing apps, using each app as it’s intended to be used and evaluating it against the criteria we set for the category. We’re never paid for placement in our articles from any app or for links to any site—we value the trust readers put in us to offer authentic evaluations of the categories and apps we review. Whether sending a text message or dictating your TPS report, getting your words right should be the highest priority. Software that accurately captures your speech inspires confidence, letting you focus on what you say and less on how you say it. That’s not to say you shouldn’t try to enunciate your words (you should), but the best dictation software can usually correctly roll with the minor flubs and stumbles of everyday speech. Accuracy was the first quality I looked for when deciding which software to choose.

In addition to accuracy, here’s what I was looking for:

Ease of use, which wasn’t a high hurdle as most options are basic enough that anyone can figure them out in seconds.
Availability of voice commands. These let you add «instructions» while you’re dictating, such as adding punctuation, starting a new paragraph, or more complex commands like capitalizing all the words in a sentence.
Availability of the languages supported. All the picks here support a decent (or impressive) number of languages.

Tips for using voice recognition software

Though dictation software is pretty good at recognizing different voices, it’s not perfect. Here are some tips to make it work as best as possible.

Speak naturally (with caveats). Dictation apps learn your voice and speech patterns over time. And if you’re going to spend any time with them, you want to be comfortable. Speak naturally. If you’re not getting 90% accuracy initially, try enunciating more.
Punctuate. When you dictate, you have to say each period, comma, question mark, and so forth. The software isn’t smart enough to figure it out on its own.
Learn a few commands. Take the time to learn a few simple commands, such as «new line» to enter a line break. There are different commands for composing, editing, and operating your device. Commands may differ from app to app, so learn the ones that apply to the tool you choose.
Know your limits. Especially on mobile devices, some tools have a time limit for how long they can listen—sometimes for as little as 10 seconds. Glance at the screen from time to time to make sure you haven’t blown past the mark.
Practice. It takes time to adjust to voice recognition software, but it gets easier the more you practice. Some of the more sophisticated apps invite you to train by reading passages or doing other short drills. Don’t shy away from tutorials, help menus, and on-screen cheat sheets.

Advice on microphones for dictation

With dictation software, your voice is captured by a microphone, which is included on your device (computer, tablet, mobile) or as part of a specific software suite (e.g., Microsoft Office). For the occasional dictation user capturing notes and shopping lists, the built-in microphone should work fine. But if you’re using it more intensely—consistently writing content, dictating meetings, sending emails—consider something that more effectively nabs the sound waves from your voice.

For under $100, there are lots of options for headsets with mics or external microphones used by podcasters and YouTube interviewers. For this test, I used a mid-priced USB headset from Jabra for all but the mobile apps. It’s lightweight, very comfortable, and has reasonably good sound/voice quality. If you prefer not being tethered to your device, wireless options like the Jabra Elite 45h ($100) might be more your speed. And the highly-rated Blue Snowball USB microphone ($70) has a cool retro look and its own adjustable stand.

How we tested dictation apps

To test accuracy, I used the same 209-word script for all the apps. It contained five paragraphs, various sentence lengths, multiple punctuation marks, numbers, and a proper noun for good measure. There were also a few compound adjectives (e.g., third-party) that gave all but one app trouble—not inserting the hyphen unless commanded to. I didn’t penalize an app if they missed automatically inserting the hyphen. For all but the mobile-specific candidates, I used my Jabra headset. There was little to no background noise in my office testing space.

I dictated the script into each app I tested. Then I stopped, recorded the accuracy and any impressions (e.g., «capitalized random words throughout third sentence»), and repeated this step two more times. Because my dictations were never flawlessly delivered, I used an average of the three attempts to determine accuracy. I also tried the various commands, and where offered, tried other features, such as adding a difficult word to the app’s vocabulary to ensure accuracy.

Keep in mind that many of these apps will become more accurate the more times you use them, so the accuracy numbers mentioned will likely improve with continued use. Also, because I was reading from a «script,» my speech tempo was likely faster than the average person who’s dictating their thoughts.

Best free dictation software for Apple devices

Apple Dictation (iOS, iPadOS, macOS)

Look no further than your Mac, iPhone, or iPad for one of the best dictation tools. Apple’s built-in dictation feature, powered by Siri (I wouldn’t be surprised if the two merged one day), ships as part of Apple’s desktop and mobile operating systems. On iOS devices, you use it by pressing the microphone icon on the stock keyboard. On your desktop, you turn it on by going to System Preferences > Keyboard > Dictation, and then use a keyboard shortcut to activate it in your app.

If you want the ability to navigate your Mac with your voice and use dictation, try Voice Control. By default, Voice Control requires the internet to work and has a time limit of about 30 seconds for each smattering of speech. To remove those limits for a Mac, enable Enhanced Dictation, and follow the directions here for your OS (you can also enable it for iPhones and iPads). Enhanced Dictation adds a local file to your device so that you can dictate offline.

You can format and edit your text using simple commands, such as «new paragraph» or «select previous word.» Tip: you can view available commands in a small window, like a little cheat sheet, while learning the ropes. Apple also offers a number of advanced commands for things like math, currency, and formatting.

Apple Dictation price: Included with macOS, iOS, iPadOS, and Apple Watch.

Apple Dictation accuracy: For this test, I used a borrowed iPhone 14 with the basic Dictation feature. For my 209-word test, it flubbed an average of eight words for the three tests, giving it an accuracy rating of 97%. Like Gboard, it also correctly transcribed a few (but not all) of the difficult compound modifiers. And also like Gboard, it easily kept up with my speech cadence.

Recommendation: For the occasional dictation, I’d recommend the standard Dictation feature available with all Apple systems. But if you need more custom voice features (e.g., medical terms), opt for Voice Control with Enhanced Dictation. You can create and import both custom vocabulary and custom commands and work while offline.

Apple Dictation supported languages: Enhanced Dictation supports 20 languages. Apple’s default Dictation supports 31 languages: Arabic, Catalan, Chinese, Croatian, Czech, Danish, Dutch, English, Finnish, French, German, Greek, Hebrew, Hungarian, Indonesian, Italian, Japanese, Korean, Malay, Norwegian, Polish, Portuguese, Romanian, Russian, Slovak, Spanish, Swedish, Thai, Turkish, Ukrainian, and Vietnamese.

Best free dictation software for Windows

Windows 10 Speech Recognition (Windows)

Windows 11 has been out for over a year, but for this test, I used what I had: Windows 10. When I attempted to «upgrade» to 11, I got an error message about a «safeguard hold» preventing the download. There are some feature differences (e.g., languages supported), which you can read about here, and Windows 10 refers to it as «speech recognition» while Windows 11 calls it «voice typing.» Both are included in their respective operating systems with nothing additional to install.

To start, first, check that online speech recognition is on by going to Settings > Privacy > Speech. To begin dictating, in either OS, open an app, and on your keyboard, press the Windows logo key + H. A microphone icon and gray box will appear at the top of your screen. Make sure your cursor is in the space where you want to dictate.

When it’s ready for your dictation, it will say Listening. You have about 10 seconds to start talking before the microphone turns off. If that happens, just click it again and wait for Listening to pop up. To stop the dictation, click the microphone icon again or say «stop talking.»

As I dictated into a Word document, the gray box reminded me to hang on, we need a moment to catch up. If you’re speaking too fast, you’ll also notice your transcribed words aren’t keeping up. This never posed an issue with accuracy, but it’s a nice reminder to keep it slow and steady.

It includes about three dozen commands for punctuation, symbols, and for completing actions within a document. Windows 10 includes six dictation languages, but commands are only available in U.S. English. Windows 11 boosts the number of languages recognized to 36 plus a handful of dialects and commands for all these languages.

Windows 10 Speech Recognition price: Included with Windows 10; Speech Recognition included in older versions of Windows and also with the new release of Windows 11.

Windows 10 Speech Recognition accuracy: For the 209-word transcription test, Speech Recognition had a combined accuracy rating of 97% after the three tests. It missed adding a dash, an apostrophe for possession, and several others. Windows Speech Recognition was one of the best out-of-the-gate for accuracy with only Gboard equaling it.

Recommendation: It worked in any app or browser I tried, which makes it a handy tool to have around. If you’re a Windows 10 user and don’t mind a voice «training» period, you’ll get good use out of this feature.

Windows 10 Speech Recognition languages supported: Not counting different dialects separately, Windows Speech Recognition supports these languages: Chinese Simplified, English, French, German, Italian (Italy), Portuguese (Brazil), and Spanish.

Best customizable dictation software

Dragon by Nuance (Android, iOS, macOS, Windows)

In 1990, Dragon Dictate emerged as the first dictation software. Thirty years later, we have Dragon by Nuance, a leader in the industry and a distant cousin of that first iteration. With a variety of software packages and mobile apps for different use cases (e.g., legal, medical, law enforcement), Dragon can handle specialized industry vocabulary, and it comes with excellent features, such as the ability to transcribe text from an audio file you upload.

For this test, I used Dragon Anywhere, Nuance’s mobile app, as it’s the only version—among otherwise expensive packages—available with a free trial. It includes lots of features not found in the others, like Words, which lets you add words that would be difficult to recognize and spell out. For example, in the script, the word «Litmus'» (with the possessive) gave every app trouble. To avoid this, I added it to Words, trained it a few times with my voice, and was then able to transcribe it accurately.

It also provides shortcuts. If you wanted to shorten your entire address to one word, go to Auto-Text, give it a name («address»), and type in your address: 1000 Eichhorn St., Davenport, IA 52722, and hit Save. The next time you dictate and say «address,» you’ll get the entire thing. Press the comment bubble icon to see text commands while you’re dictating, or say «What can I say?» and the command menu pops up.

Once you complete a dictation, you can email, share (e.g., Google Drive, Dropbox), open in Word, or save to Evernote. You can perform these actions manually or by voice command (e.g., «save to Evernote.») Once you name it, it automatically saves in Documents for later review or sharing. Accuracy is good and improves with use: my first test produced nine errors, seven for the second, and six for the final run.

Dragon by Nuance price: $15/month for Dragon Anywhere (iOS and Android); from $200 to $500 for desktop packages

Dragon by Nuance accuracy: Dragon Anywhere averaged a 97% accuracy rate for three tests for the 209-word script.

Recommendation: Because Dragon is a relatively large investment, you should be seriously committed to using dictation regularly. I recommend trying Dragon Anywhere free for seven days to see how you like it first.

Dragon by Nuance supported languages: Dragon Anywhere is available in English (US, UK, Canada), French, and German. Dragon desktop products are available in several languages, which vary by version, and include Dutch, English, French, German, Italian, and Spanish.

Best free mobile dictation software

Gboard (Android, iOS)

Google’s excellent Gboard app, which includes dictation, works with both Android and iOS. To use it, go anywhere you can type (email, browser, text, document), and the keyboard will pop up. Tap the microphone icon at the top-right of the keyboard, and start speaking when prompted. It will very quickly capture your voice into text as fast as you’re able to talk. It’s scary how fast it transcribes. Not only that, it’s highly accurate. It was the only app that captured any of the compound modifiers (e.g., customer-centric) without me having to insert a hyphen manually. (Note: If you stop speaking for about 10 seconds, the microphone turns off, so you’ll have to tap it again.)

You have the option to personalize the app, which allows Gboard to recognize your voice usage patterns and improve on them, increasing accuracy over time. I’ve dictated texts in the car with the radio on, and it’s still nearly perfect. It’s also good at not including stammers, likely as a result of learning my speech patterns.

Keep in mind: I’ve been using Gboard for about seven years. It has learned my voice and speech patterns, so it’s not surprising that it was the most accurate in my tests.

Gboard price: Free

Gboard accuracy: In transcribing a 209-word passage, Gboard’s accuracy averaged 98%, which was the highest in the test.

Google Docs voice typing (Web on Chrome)

Google Docs includes a dictation feature that’s both highly accurate and easy to use, called Google Docs voice typing—but you have to be using Chrome to access this feature. Just go to Tools > Voice typing, and a microphone icon will appear on the left. Click on it, and start talking. If you’re idle for about 30 seconds, the microphone automatically stops, though it still shows as red or «on.» Click on it again to resume. You can use the same process to dictate speaker notes in a Slides presentation.

If you need help or you want a list of commands, click the question mark within the microphone icon. Help will pop up on the right where you can scroll or search to find voice commands such as punctuation, text formatting, editing, and even moving around your document.

Google Docs voice typing price: Free

Google Docs voice typing accuracy: Out of 209 words dictated, average accuracy for the three attempts was 95%. It capitalized some words in the middle of sentences (e.g., «Brands» and «Prospects») and misspelled the proper noun Litmus about half the time. It did, however, correctly hyphenate half the compound modifiers.

Recommendation: If you’re a Google Docs power user and want dictation capability, voice typing is an excellent choice for its accuracy and many voice commands.

SpeechTexter (Web on Chrome, Android)

SpeechTexter is supported only using the Chrome browser or with the Android mobile app. Many free dictation sites have an annoying number of ads, but this one keeps it to a manageable one or two. And they do have a privacy policy that states that, while they don’t store any of your text, it is processed by Google’s servers. Just keep that in mind.

To start, select your language. (For English speakers, there are an impressive 16 different dialects from countries such as Ghana, Hong Kong, and Pakistan and a total of 73 different languages.) Then in the top-left corner, click Start, and begin. As you’re talking, your speech is captured in a pop-up window briefly and then quickly transcribed on the screen with little delay. As you talk, a word count displays in real-time at the bottom-right.

Voice commands are placed handily to the right of the main window. If you want to create your own command, click the pencil icon, then the plus sign and add a command. At first, I added a command for «em dash,» and it didn’t recognize this, so I changed it to just «dash,» which did the trick. You can edit your speech like you would in any basic word processing program, then save it as a .txt or Word file. Enabling the auto-save feature prevents you from losing work if your browser or window is closed inadvertently. If that happens, just bring the site back up, and your previous dictation will appear on the screen.

SpeechTexter price: Free

SpeechTexter accuracy: In a 209-word passage, SpeechTexter averaged 95% accuracy for my three dictations, so about 11 mistakes each time. The most common mistakes were randomly capitalizing words in the middle of sentences, which is unsurprising, as it runs on the same speech engine as Google Docs (see its accuracy results above). Also, for some reason it had trouble creating new paragraphs during my tests. Then I went back later, and it was working.

Recommendation: If you use Chrome and occasionally need dictation, SpeechTexter is a good choice for its accuracy and ease of use.

Enterprise dictation options

If your dictation requires additional capabilities not covered by the programs listed here, consider some of the platforms targeted to specific industries and larger use cases. Dragon, for example, has pricier platforms aimed at industries such as legal, law enforcement, and education, while Amazon Transcribe contains features (e.g., HIPAA compliance, HCP and patient conversations) for medical professionals. And Microsoft Azure offers speech-to-text whether you need live transcription or conversion from existing audio files.

Is voice dictation for you?

Once you shift from a free voice to text app to Dragon, you’ll notice a big boost in productivity. With Dragon, you get 99% voice recognition out-of-the-box, and it even improves over time because of fancy algorithms.

The best thing about it is that it’s free and you don’t even have to sign up for anything. You only need to create a Google Doc, go to “Tools” in the upper menu, and choose “Voice Typing.”

This will open up the dictation tool and a menu from which you can choose your preferred language and press record. The number of languages is truly remarkable, making it a perfect app for note taking without having to pay a hefty price tag.

In the past, the record button would be available just for a couple of seconds before switching off. But now you can use dictation continually, which is much better for maintaining productive flow.

This should be your first choice if you’re a Mac user and on the hunt for the best free option that works.

All you need to do to activate it is go to system settings, then click on “keyboard”, look for a microphone icon and turn on dictation.

The standard version of this dictation app requires the internet to work and has a time limit of about 30 seconds for each piece of speech, however, once you enable Enhanced Dictation available for OS X v10.9 or later or iPhone 6s or newer, you can dictate without limits and don’t need to be online.

One thing great about it is that you can turn it on and off by using a keyboard shortcut (my favorite option is double hitting the command key)

Apple dictation gives you broader capabilities than the free tool from Google Docs because you can write in any text field.

Then click on “start speech recognition”. Afterward, you’ll need to go through a couple more steps (like setting up your microphone, etc.) before you’re ready. But the whole setup should take only five minutes.

Now you’ll be able to use Windows 10 Speech Recognition for writing, and use voice commands to control your computer hands-free.

Once the app is in listening mode, you can start using commands like “comma”, or “open quote”, and even do basic web searches.

But finally, the app lacks advanced voice recognition software capabilities and commands you can find in Dragon or other apps.

It’s nice, especially if you already use Dragon Naturally Speaking on your desktop computer. In fact, it shares a lot of similar features.

It lets you dictate with no word limits, and with a 99% accuracy rate if you’re a native English speaker. Also, it allows you to open the correction menu to rectify any spelling or grammar mistakes.

Of course, voice recognition quality depends on the type of microphone you’re using.

Your built-in smartphone mic is usually enough. But if you’re seriously considering voice writing on your phone, invest in an inexpensive lapel mic ($15-$20) with a 3.5 mm jack that can be plugged into your phone.

This will vastly improve your results and turn your phone into a professional writing machine.

A lot of Authors give up on their books before they even start writing.

I see it all the time. Authors sit down to write and end up staring at a blank page. They might get a few words down, but they hate what they’ve written, harshly judge themselves, and quit.

Or they get intimidated by the prospect of writing more and give up. They may come back, but if so, it’s with less and less enthusiasm, until they eventually just stop.

In order to break the pattern, you have to get out of your own head. And the best way to do that is to talk it out.

I’m serious. Who ever said that you have to write your book? Why not speak it?

Authors don’t need to be professional writers. You’re publishing a book because you have knowledge to share with the world.

If you’re more comfortable speaking than writing, there’s no shame in dictating your book.

Sure, at some point, you’ll have to put the words on a page and make them readable, of course.

But for your first draft, you can stop focusing on being a perfect writer and instead focus on getting your ideas out in the world.

In this post, I’ll cover why dictation software is such a great tool, the difference between dictation and transcription, and the best options in each category.

Why Use Speech Recognition Software?

When Authors experience writer’s block, it’s not usually because they have bad ideas or because they’re unorganized. The number 1 cause of writer’s block is fear.

So, how do you get rid of that fear?

The easiest solution is to stop staring at the screen and talk instead.

Many Authors can talk clearly and comfortably about their ideas when they aren’t put on the spot. Just think of how easy it is to sit down with colleagues over coffee or how excited you get explaining your work to a friend.

There’s a lot less pressure in those situations. It’s much easier than thinking, “I’m writing something that thousands of people are going to read and judge.”

When that thought is in your head, of course you’re going to freeze.

Your best bet is to ignore all those thoughts and really focus on your reader. Imagine you’re speaking to a specific person—maybe your ideal client or a close friend. What do they want to know? What can you help them with? What tone do you use when you talk to them?

When you keep your attention on the reader you’re trying to serve, it helps quiet your fear and anxiety. And when you speak, rather than write, it can help you keep a relaxed, confident, and personable tone.

Readers relate to Authors’ authentic voices far more than overly-crafted, hyper-intellectual writing styles.

Speaking will also help you finish your first draft faster because it helps you resist the desire to edit as you go.

We always tell Scribe Authors that their first draft should be a “vomit draft.”

You should spew words onto a page without worrying whether they’re good, how they can be better, or whether you’ve said the right thing.

Your vomit draft can be—and possibly will be—absolute garbage.

But that’s okay. As the Author of 4 New York Times bestsellers, I can tell you: first drafts are often garbage. In the end, they still go on to become highly successful books.

It’s a lot easier to edit words that are already on the page than to agonize over every single thing you’re writing.

That’s why speech recognition software is the perfect workaround. When you talk, you don’t have time to agonize. Your ideas can flow without your brain working overtime on grammar, clarity, and all those other things we expect from the written word.

Of course, your spoken words won’t be the same as a book. You’ll have to edit out all the “uh”s and the places you went on tangents. You might even have to overhaul the organization of the sections.

But remember, the goal of a first draft is never perfection. The goal is to have a text you can work with.

What’s the Difference between Dictation & Transcription?

If you know you want to talk out your first draft, you have 2 options:

1. Dictation Software

With dictation software, you speak, and the software transcribes your words in real-time.

For example, when you give Siri a voice command on your iPhone, the words pop up across the top of the screen. That’s how dictation software works.

Although, I should point out that we aren’t really talking about Apple’s Siri, Amazon’s Alexa, or Microsoft’s Cortana here. Those are AI virtual assistants that use voice recognition software, but they aren’t true dictation apps. In other words, they’re good at transcribing a shopping list, but they won’t help you write a book.

Some dictation software comes as a standalone app you use exclusively for converting speech to text. Other dictation software comes embedded in a word processor, like Apple’s built-in dictation in Pages or Google Docs’ built-in voice tool.

If you’re a fast speaker, most live dictation software won’t be able to keep up with you. You have to speak slowly and clearly for it to work.

For many people, trying to use dictation software slows them down, which can interrupt their train of thought.

2. Transcription Services

In contrast, transcription services convert your words to text after-the-fact. You record yourself talking and send the completed audio files to the service for transcription.

Some transcription services use human transcription, which is exactly what it sounds like: a human listens to your audio and transcribes the content. This kind of transcription is typically slower and more expensive, but it’s also more accurate.

Other transcription services rely on computer transcription. Using artificial intelligence and advanced voice recognition technology, these services can turn around a full transcript in a matter of minutes. You’ll find some mistakes, but unless you have a strong accent or there’s a lot of background noise in the recording, they’re fairly accurate.

Why Use Dictation?

Dictation is the way to go if you want to sit in front of your computer and type—but maybe just type a little faster. It’s especially useful for people who want to switch between talking and typing.

It’s probably not your best option if you want to speak your entire first draft. Voice recognition software still requires you to speak slowly and clearly. You might lose your train of thought if you’re constantly stopping to let the software catch up.

With dictation software, you may also be tempted to stop and read what the software is typing. That’s an easy way to get sucked into editing, which you should never do when you’re writing your first draft.

I recommend using dictation as a way to shake up your writing process, not to replace typing entirely.

Why Use Transcription?

If you want to get your vomit draft out by speaking at your own natural pace, we recommend making actual recordings and sending them to a transcription service.

Transcription is also preferable if you’re being interviewed or if you have a co-author because it can recognize multiple voices. It’s also a lot more flexible in terms of location. People can interview you over Zoom or in any other conferencing system, and as long as you can record the conversation, it will work.

Transcription is also relatively cheap and works for you while you do other things. You can record your content at your own pace and choose when you want a computer (or person) to transcribe it. You could record your whole book before you send the audio files for transcription, or you could do a chapter at a time.

Transcription may not work well for you if you are a visual person who needs to see text in order to stay on track. Without a clear outline in front of you, sometimes the temptation to verbally wander or jump around can be too great, and you’ll waste a lot of time sorting through the transcripts later.

Do You Need Any Special Recording Equipment?

No. Most people don’t need anything special.

Whether you’re using transcription or dictation, don’t waste your money on fancy audio equipment. The microphone that comes with your computer or smartphone is more than adequate.

Some people find headsets useful because they can move around while they’re speaking. But you don’t want to multitask too much. If you’re trying to dictate your book while you’re cooking, you’ll be distracted, and the ambient noise could mess up the recording.

The Best Transcription Services

Scribe recommends 2 transcription services:

Rev

1. Temi

Temi works well for automated transcription (i.e., transcribed by a computer, not a human).

They charge $.25 per audio minute, and their turnaround only takes a few minutes.

Their transcripts are easy to read with clear timestamps and labels for different speakers. They also provide an online editing tool that allows you to easily clean up your transcripts. For example, you can easily search for all the “um”s and remove them with the touch of a button.

You can also listen to your audio alongside the transcript, and you can adjust the playback speed. This is very useful if you’re a fast talker.

If you prefer to work on the go, Temi also offers a mobile app.

2. Rev

Rev offers many of the same features as Temi for automated transcripts. They call this option “Rough Draft” transcription, and it also costs $.25 per audio minute. The average turnaround time for a transcript is 5 minutes.

What sets Rev apart is that they also offer human transcription. This service costs $1.25 per minute, and Rev guarantees 99% accuracy. The average turnaround time is 12 hours.

Human transcription is a great option if your audio file has a lot of background noise. It’s also great if you have a strong accent that automatic transcription software has trouble recognizing.

1. Google Docs Voice Typing

This is currently the best voice typing software, by far. It’s driven by Google’s AI software, which applies Google’s deep learning algorithms to accurately recognize speech. It also supports 125 different languages.

One of the best aspects of Voice Typing is that you don’t need to use a specific operating system or install any extra software to use it. You just need the Chrome web browser and a Google account.

It’s also easy to use. Just log into your account and open a Google Doc. Go to “Tools” and select “Voice Typing.”

A microphone icon will pop up on your screen.

Click it, and it will turn red. That’s when you can start dictating.

Click the microphone again to stop the dictation.

Voice Typing is highly accurate, with the typical caveats that you have to speak clearly and at a relatively slow pace.

It’s free, and because it’s embedded in the Docs software, it’s easy to integrate into your pre-existing workflow. The only potential downside is that you need a high-quality internet connection for Voice Typing, so you won’t be able to use it offline.

2. Apple Dictation

Apple Dictation is a voice dictation software that’s built into Apple’s OS/ iOS. It comes preloaded with every Mac, and it works great with Apple software.

If you’re on an iPhone or iPad, you can access Apple dictation by pressing the microphone icon on the keyboard. Many people use this feature to dictate texts, but it also works in Pages for iPhone. It can be a useful option for taking notes or dictating content while you’re away from your desktop.

If you’re on a laptop or desktop, you can enable dictation by going to System Preferences > Keyboard.

Apple Dictation typically requires an internet connection, but you can select a feature in Settings called “Enhanced Dictation” that allows you to continuously dictate text when you’re offline.

Apple Dictation is great because it’s free, it works well with Apple software across multiple devices, and it generates fairly accurate text.

It’s not quite as high-powered as some “professional” grade dictation programs, but it would work well for most Authors who already own Apple products.

3. Windows Speech Recognition

The current Windows operating system comes with a built-in voice dictation system. You can train the system to recognize your voice, which means that the more you use it, the more accurate it becomes.

Unfortunately, that training can take a long time, so you’ll have to live with some inaccuracies until the system is calibrated.

On Windows 10, you can access dictation by hitting the Windows logo key + H. You can turn the microphone off by typing Windows key + H again or by resuming typing.

Windows Speech Recognition is a good option if you don’t own a Mac or don’t use Google Docs, but overall, I’d still recommend one of the other options.

4. Otter.ai

Otter allows you to “live transcribe” or create real-time streaming transcripts with synced audio, text, and images. You can record conversations on your phone or web browser, or you can import audio files from other services. You can also integrate Otter with Zoom.

Otter is powered by Ambient Voice Intelligence, which means it’s always learning. You can train Otter to recognize specific voices or learn certain terminology. It’s fast, accurate, and user-friendly.

Otter is based on a subscription plan with basic, premium, and team options. I’ll only mention the basic and premium plans since most Authors won’t need the team features.

The free basic plan allows 600 minutes of transcription per month, which should be plenty—but the maximum length of each file is only 40 minutes. You also can’t import audio and video, and you can only export your transcripts as txt files, not pdf or docx files.

The premium plan is $8.33 per user per month, and it grants you access to a whopping 6,000 monthly minutes, with a max speech length of 4 hours. More importantly, you can import recordings from other apps and export your files in multiple formats (which will make your writing process much smoother).

5. Dragon

Dragon is one of the most commonly recommended programs for standalone dictation software. It has high-quality voice recognition, but that high quality comes with a hefty price tag. The latest version, Dragon Home 15, costs $150, but it’s not compatible with Apple’s operating system. Mac users have to upgrade to the Professional version ($300).

With all the solid free options available—several of which are better than Dragon—I don’t recommend buying Dragon.

High Accuracy: Nuance claims that their app has a 99% accuracy rate. Going by this assertion, the app saves time that could have otherwise been wasted on editing the mistakes made by low-accuracy software.

Great for Proofreading: Dragon home has a playback feature that you can use to listen to a document while you proofread or edit that document. Reading aloud is encouraged when editing a draft, and the app does this on your behalf so all you have to do is listen and pick up inconsistencies, errors, and passages that just don’t sound right. It’s like an AI-powered proofreading buddy.

A user-friendly interface: The app has an intuitive interface that makes editing a little bit easier; thereby, saving you even more time.

Versatility: Apart from writing documents, Dragon Home can also help you surf the web post on your social media, compose emails, and do other tasks.

My Verdict on Dragon

One thing that would shoo away some potential users is Dragon Home’s $200 tag. But, when you get to use the software, you realize that it’s worth it. Dragon Home is intuitive, quick, and highly accurate. It is, simply, one of the best dictation software available.

Speechmatics

Speechmatics is a powerful speech-to-text program that offers a wide range of great features and supports more than 31 languages, with all their dialects and accents factored in.

Speechmatics is also capable of subtitling—in real-time and with high accuracy—audio from a live stream, news channel, and other broadcasting options.

And that is not all, Speechmatic also provides advanced punctuation tools (i.e., it places full stops, commas, question marks, and other punctuation marks correctly). Plus, it lets you customize the user interface, configure a personal dictionary and add a set of context-specific words to the dictionary to improve your transcription accuracy.

My Speechmatics Verdict

Obviously, having no native user app is a bummer but it has a quite impressive API integration and it turns out that it is very fast, even faster than other programs that have native apps. Although there’s no free trial or free plan available, the pricing seems to be fair since they use your expected value to quote your prices. However, if you intend to do some casual dictation, you might have to look somewhere else because you’ll end up overpaying.

Braina

The Braina speech recognition software, which has a pint of smart personal assistant capabilities, boasts of high accurate dictation that can be done in over 90 languages.

You can use this voice-to-text software (referred to as a smart personal assistant by the owners, Brain Artificial) to control apps and transcribe text on Windows, Android, and iOS.

Supported Systems: Windows, Android, iOS.

Pricing: Braina offers three plans. The free plan comes with basic features like English-only voice commands, text to speech, play search voice, and videos. Then there’s the Braina Pro plan, which costs $49/year, and lets you dictate in 90 languages, has custom voice commands, lets you control your music player using your voice, and has a mathematics function among others.

What I Liked About Braina

Multi-Lingual Support: When it comes to language support, Braina is one of the best (if not the best) as it supports more than 100 different languages and can convert text from one language to another. Braina can be used to issue voice commands in multiple languages not just English hence a great app for a lot of people from around the world.

Intelligent Adaptation: Braina intelligently learns and adapts to your accent and adjusts to your environment. It also learns the changes you usually make when editing text. These learning capabilities improve accuracy and are time-saving in the long run.

Other uses: The speech-to-text software can be used for text-to-voice playback and to perform complex mathematical calculations using commands that you customize.

My Braina Verdict

Fairly priced, precise voice recognition, and an AI-based learning capability, Braina is a great dictation solution for businesses, students, and home use.

Otter

Otter is, particularly, a great dictation software for researchers and students, Otter is a great app for taking notes, minutes of meetings, lectures, and recording interviews.

Otter is a highly accurate and responsive dictation software that uses Ambient Voice Intelligence (AVI) to learn as you speak. It is quickly becoming the preferred app for collaborative projects because of its team collaboration features such as Zoom live transcription, sharing voiceprints, and user management.

The ambient voice intelligence technology enables Otter to recognize voices better and learn special vocabulary. Otter also helps users record, organize, edit, search, and download documents and conversations from any device.

As a dictation software, I’m not convinced that Otter is as great as Dragon (because it is a hugely diversified app), but still, it is among the best voice-to-text software.

Supported Systems: Windows, iOS, Android, Blackberry.

Pricing: Otter offers four plans. There is a free package called Basic, then there’s an $8.33/month plan called Pro, and a Business subscription that is $20/month. Otter has a subscription plan for large organizations and it is called enterprise.

What I Liked About Otter

An excellent free plan: Otter’s free plan gives you access to some useful features, zoom cloud recordings, and 600 minutes of free transcription per month.

Great Collaborative Features: Features like zoom integration, longer live recordings, syncing Dropbox files, and sharing with groups are game-changing for people who work in teams.

Desktop and mobile support: Otter supports Windows and all popular mobile operating systems making it more versatile than it already is.

My Verdict on Otter

I admit Otter is quite pricey, but—and this is not a ceremonial ‘but’—the diverse features the software offers are worth every cent spent on this tool.

Google Docs Voice Typing

What I Liked About Google Docs

It’s Forever Free: Who doesn’t like free things? Free, high-quality things? It’s so unbelievable that you don’t have to spend a cent on such impressive dictation software.

Ease of use: Google docs is such an intuitive app that I actually found its voice typing feature by accident. I was typing some doc and was playing around with the formatting when I found the feature and in seconds, I voice-typed a paragraph.

Versatility: The fact that Google integrated this feature with Google Docs means you can utilize Docs’ formatting features while you dictate. Plus, your dictation is instantly saved to the cloud.

My Google Docs Voice Typing Verdict

Google Docs Voice Typing isn’t the ideal software for people looking for a tool for managing their applications, posting on social media, or surfing the net. And it only supports English.

However, if you’re looking for a tool that can help you create a lot of documents quickly and you’re on a strict budget, then Google Docs Voice Typing is the ideal solution for you.

Dragon Anywhere

Dragon Anywhere is the Dragon Home’s little brother and Nuance’s answer to your dictation needs on mobile devices. This software lets you create and edit documents using your voice and gives you the options of customizing words, templates, and commands to edit, format, and share your texts on your mobile device.

So, whether you want to create documents, fill out reports and forms, or work on any other paperwork on your smartphone or tablet, Dragon Anywhere has got your back. And, you can synchronize your customizations with Dragon Professional for the desktop, meaning that the dictation you do on your Android or iOS device can be completed at your desk using your computer.

Supported Systems: Android, iOS.

Pricing: Costs $15/month and $150/year. Offers 1 week trial period.

What I Liked About Dragon Anywhere

No Limits: Dragon Anywhere doesn’t impose any word or time limits—you can dictate for as long as you wish.

Synchronization: Dragon Anywhere is a mobile app but the work you do on it can be saved and be completed using other desktop Dragon programs.

Very Accurate: Not the best there is, but it is up there.

My Dragon Anywhere Verdict

I found the $150 price tag to be a bit high for a mobile speech-to-text app. I couldn’t really find a major reason to justify that, but the app is efficient and worth the hype (It could be cheaper, though).

Microsoft Word has a “dictate” feature that uses voice recognition to turn your voice into text.

This Speech-to-text capability comes in handy when you’re having issues typing with a physical keyboard. All you do is go to the “Home” tab (in your word program) and click “Dictate.” Once you do that, the button changes to red and there’s a beep. Go!

It’s Free: When MS Word is downloaded as a separate app, not as part of the full suite of Microsoft 365 tools, it’s a free app.

I love Word and for it to have a speech-to-text feature is a bonus. So, regardless of whether it’s as good as the specialized dictation tools—like dragon—or not, I still use a lot because I type using Word, like 90% of the time.

Speechnotes is a free and paid online dictation program that allows you to type by speaking.

My Speechnotes Verdict

Apart from Google Docs Voice Typing, Speechnotes is the simplest online dictation tool that I have ever used. Plus, its premium plan is fairly priced, costing less than a dollar per month. It’s almost free.

Apple Dictation

This is the inbuilt free dictation software for every Mac that allows you to dictate documents. The Apple dictation feature, which is powered by Siri, is activated by pressing the microphone icon on the stock keyboard or by going to ‘Dictation in System Preferences (System Preferences > Keyboard > Dictation).

The Apple Dictation feature requires the internet to work and allows you to format and edit your text using preset commands or custom ones created by you.

All you need to do is tap the microphone icon on the top right corner of the Gboard keyboard and start dictating. Once you start using the app, you realize that not only is it fast, but it’s also pretty accurate.

Speechpad — бесплатный сервис для голосового ввода текста. Доступен в трех форматах:

онлайн-сервис;
браузерное расширение — с его помощью можно вводить текст в любое поле для ввода;
мобильное приложение для Android и iOS.

У сервиса также есть платные функции. Их два вида:

дополнительные (расширенные). Включают в себя голосовой ввод в режиме интеграции с OS Linux и Windows, а также транскрибирование аудиофайлов длиной более 15 минут;
премиум. Пакетное транскрибирование аудио и видео (больше двух файлов).

Онлайн-сервис

Интерфейс сервиса выглядит так:

Здесь есть несколько настроек, кнопки управления и поле, в котором отображается распознаваемый текст.

Что можно сделать сделать:

настроить язык голосового ввода. Базово с списке доступно 14 языков (среди них русский, украинский, английский, немецкий). Если нужен другой язык, необходимо зарегистрироваться в сервисе. После этого в личном кабинете появится возможность добавить этот язык (если для него поддерживается распознавание речи);
активировать опцию «Включить команды». Если вы авторизованы в личном кабинете, вы можете добавлять голосовые команды и использовать их при надиктовке текста. Например, удалить последний распознанный фрагмент текста;
отключить управление заглавными буквами Google. По умолчанию в речи распознается начало предложений и автоматически проставляются заглавные буквы. Вы можете отключить эту опцию и самостоятельно редактировать предложения.

Обратите внимание! Онлайн-сервис Speechpad корректно работает только в браузере Google Chrome. Можно запускать его и в Яндекс.Браузере, но все же для корректной работы рекомендуется использовать именно Chrome.

Для начала распознавания текста нажмите кнопку «Включить запись» и предоставьте доступ к микрофону.

Затем надиктовывайте текст. Сначала распознанные слова появятся в поле справа от кнопки «Включить запись». После небольшой паузы они попадут в поле ниже (результирующее поле).

Над результирующем полем есть кнопки со знаками пунктуации. По ходу диктовки вы можете добавлять их вручную.

После того как вы закончили диктовку, просмотрите текст, исправьте ошибки (если есть). Затем скопируйте текст или скачайте в виде txt-файла.

Транскрибация

Также с помощью Speechpad можно переводить аудиозаписи разговоров в текст с помощью опции «Транскрибация».

Здесь можно будет загрузить аудио- или видеофайл, а также добавить ссылку на видео с Youtube.

После нажатия на кнопку «Включить запись» файл начнет проигрываться и система переведет речь в текст.

Расширение SpeechPad

Установите расширение из магазина расширений Google Chrome. После установки в контекстном меню в браузере (при клике правой кнопкой мыши на любой области экрана) появится пункт «SpeechPad».

Кликните правой кнопкой мыши по любому полю для ввода текста и выберите расширение из контекстного меню. Поле подсветится, и вы сможете голосом произнести фразу, которую нужно ввести в поле. Расширение распознает ее и отобразит в виде текста.

Мобильное приложение

Доступно две версии: для Android и iOS.

Как пользоваться сервисом

Откройте редактор и выберите язык, на котором нужно распознавать речь. Для этого кликните по иконке земного шара и укажите нужный язык.

Затем кликните по значку микрофона и предоставьте сервису доступ к микрофону вашего компьютера или ноутбука.

После этого система начнет запись и вы сможете надиктовывать текст. Распознанный текст появится в редакторе. Возможности:

Для начала работы с сервисом необходимо выбрать язык распознавания и нажать кнопку Start (предоставив доступ к микрофону).

В текстовом поле есть несколько полезных функций:

счетчик слов, распознанных системой;

С помощью Microsoft Dictate вы можете диктовать и даже переводить текст прямо в Word.

Скачайте и установите бесплатную программу Microsoft Dictate.
Затем откройте Word – в нем появится вкладка Dictation. Кликнув на нее, вы увидите значок микрофона с командой Start.
Рядом находится выбор языка. Выберите русский язык и начните запись. Старайтесь произносить слова максимально четко, и они появятся прямо в документе.

Превращаем речь в текст с помощью Speak a Message

Установите программу и нажмите кнопку «Запись». Произнесите весь текст, а затем кликните «Стоп».
Под кнопкой записи рядом с записанными файлами вы найдете функцию «Транскрипция» — «Речь в текст».
Скопируйте готовый текст и вставьте его в нужный текстовый редактор. Но не забудьте проверить то, что записала программа — иногда она допускает ошибки.

Преобразуем речь в текст без специальных программ

Нажмите на клавишу Windows и введите «Распознавание речи». Затем откройте совпадающий с запросом результат и следуйте указаниям программы.
После завершения настройки запустите приложения и диктуйте текст прямо в документе Word. Для этого просто нажмите на кнопку микрофона и начните говорить.

Преобразование речи в текст через приложение

Android и iOS уже интегрировали в свои системы функцию распознавания речи. Когда вы открываете приложение для создания заметок и начинаете набирать текст, используйте значок микрофона, чтобы запустить распознавание голоса.
Есть и другие приложения для аналогичной цели, например Dragon Dictation, доступное для Android и iOS.
