Are you looking for an easy way to check the word count in your Microsoft Word document? Word has an easy-to-use, built-in tool that keeps track of your word count in each of its versions, including desktop, mobile or online.     Launch Microsoft Word. This can be done by double clicking on the Word icon on your desktop, in your Taskbar (Windows) or Dock (Mac). If you don’t see an icon, click on the ‘Start» menu in the lower left of your PC’s screen. Click on the ‘All Programs» drop down and select Microsoft Word.[1]

    • On Mac, click on the Launchpad (a gray rocketship) icon in your dock. Type ‘Word’ in the search bar at the top of the screen.

    Navigate to an existing document. To open a document, go to the File menu, and then click on Open. A dialog box will appear with a list of available documents.[2]

    Select a document. In the dialog box, navigate to the document you wish to open. Select the document, and once it’s highlighted, click on Open in the lower right of the dialog box.

    Scroll to Word Count. In the Tools menu dropdown, click on «Word Count.»

    • If you’re not using a Mac, you won’t see any Tools heading at the top. In this case, go to the Review tab at the top of your document. Once there, you’ll see «Word Count» on the left-hand side of the section.

    Review your word count. A box will open displaying the number of words, as well as the number of characters, paragraphs, lines and pages, contained in your document.

    • In many documents, the word count is displayed live on the left side of the bottom bar of the document window. Click on this word count to get additional information, such as the number of pages and characters.

    Place your cursor at the beginning of the text you wish to count. Click on the beginning of the sentence, paragraph or section of text for which you want a word count.

    • In Word for iPad, word count is an icon, several lines with the numbers «123» displayed in the upper left, in the main menu bar under the Review menu.
    • Highlight a section of text by tapping on it with your fingers, then tap on Word Count to display the number of words in the highlighted portion of your document.

    Launch Word online. Navigate to office.live.com and log in with your Microsoft ID and password or choose to use the free version.

You can view the number of characters, lines, paragraphs, and other information in your Word for Mac, by clicking the word count in the status bar to open the Word Count box. Unless you have selected some text, Word counts all text in the document, as well as the characters, and displays them in the Word Count box as the Statistics.

Count the number of words in a part of a document

To count the number of words in only part of your document, select the text you want to count. Then on the Tools menu, click Word Count.

Just like the Word desktop program, Word for the web counts words while you type.

If you don’t see the word count at the bottom of the window, make sure you’re in Editing view (click Edit Document > Edit in Word for the web).

Click the word count to switch it off and on.

Word Count Disabled

Maybe you noticed that Word for the web gives you an approximate word count. That’s because it doesn’t count words in areas like text boxes, headers, footers, and SmartArt graphics. If you need an exact count, click Open in Word, and look at the word count at the bottom of the Word document window.

How do you check Word Count on Microsoft Word?

The method for finding the character count in Word is exactly the same whether you are using Windows or a Mac.

  1. If you want the character count of just part of the document, select the text you want to count.

Look in the bottom-left corner of the Microsoft Word window to see the word count of an entire document. To view the word count for a specific section of text, select the text with your cursor, and then look at the bottom-left corner of the window.

Depending on what you’re working on, such as an essay for a school assignment, you may have a specific word count you must reach (or not exceed). You can quickly tell what the current word count is in Microsoft Word.

You can get the word count for your entire Word document, or you can get the word count of just a specific section in Word for Windows.

Get the Word Count of an Entire Document

The easiest way to get the word count of your entire Word document is to simply check the status bar, as the word count is displayed by default. You can find the word count to the left of the status bar at the bottom of the window.

If you’re not seeing the word count in the status bar, it may have been previously disabled. You can bring the word count back by right-clicking any area of the status bar and then choosing “Word Count” from the context menu.

Alternatively, to get the word count, click the “Review” tab, and then choose “Word Count” in the Proofing group.

Get the Word Count of a Specific Section of a Document

You can also get the word count of a specific section in a Word document. This is useful if you need to keep the entire word document within a certain word count but you feel you’re being too wordy in a specific section.

All you need to do is highlight the section of the document you want to get the word count of by clicking and dragging your mouse over the text. Once highlighted, the selected word count will appear in the status bar in an x of y format–x being the selected word count and y being the total word count of the document.

How to Check the Word Count in Microsoft Word for Mac

You can also get the word count of an entire Word document (or just a specific section) on Mac. The process is similar to that of Windows.

You can also get the word count of a specific section. To do this, highlight the text you want to get the word count of by clicking and dragging your cursor over the text. Once selected, check the word count in the status bar. The first number represents the selected word count.

A word counter is a tool that helps you count the number of words and characters in a document. The tool also works as a sentence counter and calculates the number of sentences, phrases, and paragraphs in a document as well. The job of an online word counter is similar to that of a word processor. However, word processors are great for writing your articles but do not provide adequate measures to optimize your writing. The word count offered by Word and Office Suite counts the number of words in your document. It also counts pages, paragraphs, lines, and characters. You can check the number of words in your essay on the status bar of your document.

Word Count in PDF Document

Unlike Word or Office Suite, a PDF document doesn’t display the number of words in the status bar. It also doesn’t have a menu that lets you see the word count in the file. Therefore, one of the options is to convert the file into a Rich Text Format (RTF) and then count its words. Another option is to upload the file onto an online word count calculator and calculate the number of words in the document. 

Word Count in Google Docs

Google Docs also doesn’t have a status bar that shows the number of words in the document. However, you can click on the Tools tab in the Menu bar, under which you will find the word count option. It also allows you to choose the option to show word count all the time while you’re writing your article. Unlike the word count checker tool, Google Docs only counts the number of pages, words, characters, and characters without spaces in the document. It doesn’t tell you about the word frequency or the number of sentences.

The word count tool is an easy online helper that helps you check the number of words in your document and the frequency of specific keywords in them. Here’s how you can use the Word Count Tool online.

How to Check the Word Count for an Entire Document in Microsoft Word

If you just want a simple Word count, you don’t need look any further than the “x words” counter at the bottom left of your Word document. If you need more information, however, such as the Word character count, number of paragraphs, and lines, follow along below:

  1. Open the “Review” tab of your ribbon and press “Word Count” on the left-hand side

    Word should present you with the following statistics:

    – Pages
    – Words
    – Characters (no spaces)
    – Characters (with spaces)

    You can exit the Word count screen once you’ve read the information by pressing the “Close” button or the “x” in its top-right corner.

Knowing the word count or character count for an entire document is useful, but sometimes you need to get more specific. Different parts of your text may have different requirements or you might want to see if a paragraph or sentence is too long.

Here’s how to count words or characters in Word for a certain bit of text:

  1. Select the text, open the “Review” tab of the ribbon, and press “Word Count” on the left

How to Count Characters and Words on Word Online

If you use Microsoft Word Online, the process to count words and characters is very similar to above, with some minor UI changes. Here’s how to do it:

  1. Go to Office Online and open your Word document

    You can open Office Online by clicking on this link. You’ll have to log in with your Microsoft account if you haven’t already.

Get an accurate character count and word count in Microsoft Word

When you work on blog posts, technical manuals, academic papers, and other documents, you may need to know how many words are in the document or the number of characters in the title. Microsoft Word contains multiple ways to get an accurate count of the number of words or characters in a document. Word also calculates the number of words or characters in selected blocks of text.

Instructions in this article apply to Word for Microsoft 365, Word 2019, Word 2016, Word 2013, Word 2010, and Word Online.

How to Display Word Count in Microsoft Word

To turn on the word count in Word:

  1. Open Word.

  2. Right-click the Status bar at the bottom of the window.

  3. Select Word Count.

  4. The word count for the entire document displays in the Status bar.

    In Word Online, if the word count doesn’t display at the bottom of the window, select Edit Document and choose Edit in Word for the web.

  5. To display the word count for a particular selection, highlight the text you want to count.

How to Get Detailed Information on Word Count

To view more detailed information about the word count:

  1. Open the Word document.

  2. Go to the Review tab.

  3. In the Proofing group, choose Word Count.

  4. The Word Count dialog box lists the number of pages, word count, character count, paragraph count, and line count. You can opt not to include text boxes, footnotes, and endnotes.

How to View Word Count in Microsoft Word With a Shortcut

To use a keyboard shortcut to view the word count and other information:

  1. Open the Word document.

  2. Press Ctrl+Shift+G.

  3. In the Word Count dialog box, clear the Include text boxes, footnotes and endnotes checkbox if you don’t want to include these in the word count.

  4. Select Close when you’re finished.

In Word for Mac, to count part of the words in a document, select the text you want to count, go to the Tools menu, then select Word Count.

How to Show the Word Count in a Field

Another way to display the word count of a document in Word is to add a field to the document.

To display the word count in a field:

  1. Place the cursor where you want the word count to appear.

  2. Go to the Insert tab.

  3. In the Text group, select Quick Parts, then choose Field.

  4. In the Field names list, choose NumWords, then select OK.

  5. Right-click the field and select Update Field to update the word count.

Word updates the word count automatically when you print the file. Select File > Options > Display, then go to the Printing options section and select Update fields before printing.

Finding The Word Counter

1. Word Count On The Status Bar

For a fast check, you can find the word count on the status bar at the bottom left corner of your window. On the bottom left corner, you’ll first find the page counter, followed by the word counter on its right.

If you don’t see it, simply right-click anywhere on the status bar, and select Word Count among the feature list. The word count should appear in your status bar.

2. Word Count In The Menu Bar

For a more detailed information on your word count, character count, paragraphs and lines, here are the steps to find the word counter in the menu bar, whether you’re using a Mac, PC or desktop:

  1. Open your document in Microsoft Word.
  2. On the top of your screen, click on the tab ‘Tools‘.
  3. In the drop-down menu, click on ‘Word count‘.
  4. You will see the number of pages in your document, number of words, number of characters (including and excluding spaces), number of paragraphs and number of lines in a pop-up table.
  5. Click the blue ‘OK’ button on the bottom right to close the word count table.

Note that you have the option to choose whether to include the footnotes and endnotes in your word count, simply check the box next to it to include them, or uncheck the box to exclude them.

3. Word Count In The Ribbon Tabs

Another way to find the detailed word count, is through the ribbon tabs you see on the top of your document.

  1. In the Ribbon tabs row, click on ‘Review’.
  2. Select the box showing ‘Word Count’.
  3. You will see the number of pages in your document, number of words, number of characters (including and excluding spaces), number of paragraphs and number of lines in a pop-up table.
  4. Click the blue ‘OK’ button on the bottom right to close the word count table.

You can also find the number of words and characters for selected portion of your document.

Simply highlight the portion of the text you would like to find the number of words, and refer to the word count in the status bar. The word count will show the number of words in the selected text with respect to the number of words in the whole document. For example, 184/700 means there are 184 words in your selected text, out of the 700 words of your entire document.

Inserting The Word Count In Your Document

For times when you need to insert the final word count in your document as a requirement, here’s how you can do it:

  1. Click the position where you want your word count to go.
  2. In the Ribbon tabs row, click on ‘Insert’.
  3. Click on ‘Field’.
  4. Under ‘Categories’, choose ‘Document Information’.
  5. Under ‘Field names’, choose ‘NumWords’, and click ‘OK’.
  6. The word count should appear at where your cursor is at.

Note that the word count does not update automatically if you continue to work on your document. To update the word count, simply right-click on the word count and click ‘Update field’ from the drop-down menu.
